What each role can do

Roles in your team

Everyone on your team has a role. The role decides which tabs and pages they see. The owner is the person the shop belongs to. The owner gives each team member one of three roles: Staff, Manager or Senior manager.

The app sums it up like this: "Staff work orders only. Managers also add and edit items. Senior managers also see Insights and Reports. None of them can touch your settings, promos or bank."

The bar at the bottom

Each role sees different tabs in the bar at the bottom:

• Owner: Orders, POS, Items, Insights, Settings
• Senior manager: Orders, POS, Items, Insights
• Manager: Orders, POS, Items
• Staff: Orders, POS

POS is the Counter, for selling to someone standing in front of you. It shows only when the owner turns the Counter on. See Turn on the Counter. To learn what each tab does, see Find your way around the app.

On a computer, the bar is on the left. On a wide computer screen, the shop card at the bottom shows your role, like "Manager".

Staff

The app says: "Orders and the Counter."

• Take orders on the order board. Accept them and move them along. See Accept an order and move it along.
• Sell at the Counter (the POS tab). See Make a sale at the Counter.
• Use the prep sheet. When there are orders to get ready, Prep sheet shows on the order board. See Use the prep sheet.
• Add a ticket to a giveaway. While a giveaway runs, its card is on the order board. Tap Ticket on it. The owner can stop this with the Staff can add tickets switch. See Add tickets and draw a giveaway.

Staff cannot change an order after it is placed. They cannot open Items or customer pages.

Manager

The app says: "Staff, plus items, stock and customers."

• Everything staff can do.
• Change an order. See Change an order.
• Items: add items, change prices and photos, and mark items sold out. See Find your way around the Items page.
• Open a customer's page. On an order, tap See customer. See Your customers.
• Use the credit book. When a customer owes you, their page has a Credit book link. On a wide computer screen, it is also under Shortcuts in the bar on the left. See Keep a credit book.
• Draw a giveaway. When its card on the order board says "Time to draw.", tap Draw now. See Add tickets and draw a giveaway.

Senior manager

The app says: "Manager, plus Insights and Reports."

• Everything a manager can do.
• Insights: sales, best sellers, profit and reports. See See how your shop is doing.
• The credit book is in Insights, on the Credit tab. See Keep a credit book.

Senior managers can see the shop's expenses, but only the owner can add them. When the owner changes someone's role to Senior manager, the app warns: "They will see your sales, item profit and expenses."

Owner

The owner can do everything above, and more. Only the owner:

• sees Settings and every page in it, like Promos, Billing, Staff & roles and Add⁠-⁠ons. See Find your way around the app.
• can open Grow, your shop assistant. Team members only see Grow in the welcome tour and tips. See Meet Grow, your shop assistant.
• can pause new orders with the Open button on the order board. The team sees the button but cannot change it. See Pause and restart orders.
• sees the Today line with the money made, at the top of the order board.
• can add what an item costs, in What one costs you. See Add what an item costs you.
• can make a giveaway or a promo code. See Run a giveaway and Make a promo code.

Everyone on the team

Tap your shop name at the top left to open the shop menu. On a wide computer screen, tap the shop card at the bottom of the bar on the left. Everyone has Copy link & QR and View storefront in the menu. See Find your way around the app.

Team members also have Order alerts on this phone, to get a ping for new orders. The owner uses Order alerts in Settings instead. Managers and senior managers can also connect their own Telegram. Staff see: "Telegram alerts go to the owner and managers." See Order alerts for your team.

When your shop has reviews, the menu shows Reviews with a star line under it, like "4.5 · 12 reviews". Tap that line to read them. See Get and see reviews.

If a page sends you back

You may open a link someone sent you. The page opens, then goes back to the order board, with no message. This means your role cannot use that page. If you need it, ask the owner. The owner can change your role. See Change someone's role or remove them.

Give someone a role

The owner picks a role when inviting someone. This is on the Staff & roles page in Settings. Teams need a Storefront. See Invite someone to your team.
