What it is

Sometimes an order must change. An item ran out, or the customer asks for one more. You can change the order while you are still making it. The app shows the new total. If the customer already paid, it shows what they still owe, or what you must give back.

This article is about orders from your shop page. For a sale at the Counter (the POS tab), see Counter receipts and fixing a sale. For a pay link, see Follow up on a pay link.

Find it

  1. Tap Orders in the bar at the bottom.
  2. Tap the order card, not the button on it.
  3. Scroll down to Items. The app shows it in capital letters.
  4. Tap Edit on the right of Items. It has a small pencil.

A sheet called Edit order #12 slides up from the bottom. (A sheet is a panel that covers part of the screen.) The number is your order number.

On a computer, Orders is in the bar on the left. The order opens on the right side of the order board. The sheet opens in the middle of the screen. Add an item opens on the right.

No Edit button? See "I don't see the Edit button" below.

Every setting

To change an order:

  1. Tap Edit next to Items. The sheet Edit order #12 opens.
  2. Change the items. See the list below.
  3. Look at the box at the bottom. It shows the new total, or what the customer owes.
  4. Tap Save changes.

How to change the items:

  • One more: tap + on the item's line.
  • One less: tap − on the item's line.
  • Take an item out: tap − until it turns into a bin. Then tap the bin.
  • A new item: tap Add an item under the list. See Add an item below.

After you save, the app says "Saved. Stock is updated." If the customer already paid, it says "Saved. MVR 20 more to collect." or "Saved. MVR 20 to give back."

Your changes now show under the items on the order page. See "Edited" below.

Edit order #12

The sheet lists every item in the order. Each line shows:

  • the item's name, and the choices the customer picked under it
  • the price of one, like "MVR 50 each"
  • Was 2 when you changed the number. It shows the number before.
  • Removed when you took the item out. The name is crossed out.
  • New for an item you added
  • how many are left, like "3 more in stock", if you count stock for this item. See Keep count of your stock.

When an item has None left, its + button is pale and does not work.

To bring back an item you took out, tap Undo on its line.

A box the customer filled, and the items in it, show a lock and "2× · can't change". You cannot change them.

New total

The box above the buttons shows the money. Its title tells you what happens:

  • New total: the customer has not paid yet. On a cash order, it also says when to collect the money: "Collect it on delivery.", "Collect it at pickup." or "Collect it at the counter."
  • Customer owes: the customer paid, and the new total is more. It shows the amount, like "MVR 20 more".
  • Refund to customer: the customer paid, and the new total is less. You must give the amount back.
  • Same total: the customer paid, and the new total is the same as what they paid.

When the customer paid, the box says "They paid MVR 150. New total MVR 170." Maybe their payment slip came in, but you did not confirm it yet. (A payment slip is the photo of their bank transfer.) Then it says "Their slip is for MVR 150." instead.

The small line under it shows the new money lines, like "Items MVR 140 · Delivery MVR 30".

With the Bills and GST add-on, a green note can show under the box. It shows when the order has a tax invoice and the total changes. It says: "Tax invoice INV-0012 stays as it is. Saving makes a credit note for what you took off, and the GST return picks it up." When you add to the order, it says "debit note for what you added" instead. A credit note takes money off the invoice. A debit note adds money to it. See Bills and GST: tax invoices.

Save changes and Cancel

The button says Nothing changed yet until you change something. Then it says Save changes.

Cancel next to it closes the sheet without saving. It does not cancel the order.

Add an item

  1. Tap Add an item under the list. It has a + in front. A sheet called Add an item opens.
  2. Type a name in the Search your items box, or scroll down the list.
  3. Tap the item.

Each item shows its photo, name and price. An item with sizes shows a price like "From MVR 50". Under the name, it may say "5 in stock", "None left", "Sold out", "3 sizes" or "per kg".

  • An item with a + on the right goes into the order right away, 1 of it. You are back in the order. Already in the order at the same price? Then its number goes up by 1.
  • An item with a > on the right has sizes or choices. A sheet with the item's name opens. See Pick a size below.

Items that are sold out or have none left look faded. You cannot add them. These items are never in the list:

  • boxes customers fill
  • digital items
  • items that ask the customer a question
  • items you launch later that are not out yet

If nothing matches what you typed, it says "No items match." If it says "Couldn't load your items", tap Back to the order. Then tap Add an item again.

To go back without adding, tap Back to the order at the top left.

Pick a size

This sheet opens for an item with sizes or choices. Its title is the item's name. If you gave your sizes another name, like Colour, it says Pick a colour. The small titles on this sheet show in capital letters.

  1. Under Pick a size, tap one. Each size shows its price. It may also say "3 left" or "None left".
  2. Under each group of choices, tap what the customer wants.
  3. To add more than 1, tap + next to Quantity.
  4. Tap Add to order · MVR 60 at the bottom.

Next to each group, it says what you must do. "Must pick 1" means you must pick one. "Up to 3" means you can pick up to 3. "Optional" means you can skip it. Each choice shows its extra price, like "+ MVR 10", or "No extra".

If the item has two lists, like Colour and Storage, pick one from each.

Until you pick everything you must, the line above the button says "Nothing picked for Size". You cannot tap the button yet. When you are done, the line shows the price of one, like "MVR 60 each".

To go back to your items, tap Back to items.

Customer owes and Refund to customer

When a paid order changes, a card shows at the top of the order page:

  • Customer owes and the amount, like "MVR 20 more", or
  • Refund to customer and the amount, like "MVR 20".

Under it, it says "They paid MVR 150. New total MVR 170."

When the money is sorted out:

  1. Tap Mark received on the card. For a refund, tap Mark refunded. A sheet opens. Its title is Got the MVR 20?, or Refunded the MVR 20? for a refund.
  2. Under How did they pay it?, tap Transfer or Cash. For a refund, this title is How did you refund it? When the sheet opens, Transfer is picked.
  3. Tap Mark received at the bottom. For a refund, tap Mark refunded.

For a transfer, you can also add a photo of the slip before step 3. This is optional. Tap Add their slip, or Add your refund slip for a refund. Then pick the photo. The box now says Slip added. To use another photo, tap the box again.

The app says "Marked settled." The card goes away. A line is added under your items, like "MVR 20 received by transfer · 15:10 by Hassan". If you added a slip, tap See slip on that line to look at it.

To close the sheet without saving, tap Not yet.

Customers see

"Pay MVR 20.00 more. Expect a message." or "The shop owes you MVR 20.00." on their order page. After you tap Mark received or Mark refunded, this line goes away.

Tell Aisha

This button is on the same card, next to Mark received. It uses the customer's first name, like Tell Aisha. With no name, it says Tell the customer. The button only shows when the order has a phone number.

  1. Tap Tell Aisha. A sheet called Tell Aisha opens. It shows their phone number and a message.
  2. Tap Open WhatsApp. WhatsApp opens with the message ready.
  3. Send the message.

To send it by Viber, tap Copy instead. It says Copied. Then paste the message in your chat with the customer.

The message lists the changes from your last edit, the new total and what the customer paid. If you added a bank account, it says where to send the money. See Add your bank account, PayPal and cash on delivery.

Customers see

a message like "Hi Aisha, we changed your order #12 at Your shop." It lists the changes, like "+ 1× Juice". Then it says "New total: MVR 170" and "You paid: MVR 150". It ends with "Please send the MVR 20" and your bank account, or "We'll refund MVR 20 to you." A link to their order comes last.

Orders the customer has not paid yet, like cash on delivery orders, do not get this card. So there is no Tell Aisha button. Use the green WhatsApp button at the top of the order instead. See Everything on an order page.

Edited

After you save, your changes show under the items in the Items part. For example:

  • "Edited 15:02 by Hassan": who changed the order, and when. An older change shows the date too, like "17 Oct, 15:02".
  • "+ 1× Juice": an item you added
  • "− 2× Chocolate cake": an item you took out
  • "~ Rice, 1 to 3": a number you changed

Money you marked as received or refunded shows here too.

Customers see

"Order changed" at the top of their order page while you make the order. Under it is a list of the changes, like "+ Juice", "− 2× Chocolate cake" and "~ Rice, 1 to 3". Their receipt shows "Edited" with the time.

Until the money is sorted out, the customer's receipt says "Paid MVR 150.00 · MVR 20.00 still to pay". When you owe them money back, it says "Paid MVR 170.00 · MVR 20.00 to refund".

For a cash on delivery order, customers see the new amount to have ready, like "Have MVR 170.00 cash ready at the door."

Who can use it

The owner, senior managers and managers can change orders and tap Mark received or Mark refunded.

Staff do not see the Edit button. They can see the changes, the Customer owes card and the Tell Aisha button.

Changing orders needs a Storefront. The tax invoice note needs the Bills and GST add-on.

Common mistakes

I don't see the Edit button

  • You are staff. Ask the owner or a manager.
  • The order is on its way, or finished. You can only change an order while you are still making it. On some pickup and dine-in orders, the button goes away when you mark the order ready.
  • The order is cancelled or refunded.
  • The order has only digital items.
  • It is a Counter sale. Look for Edit sale in the Sale part. See Counter receipts and fixing a sale.

It says "Keep at least one item. To drop everything, cancel the order."

You took out every item. Tap Undo on one item. To stop the whole order, cancel it instead. See Cancel or refund an order.

The + button is pale, or the item looks faded

The item has none left, or it is sold out. Add your new stock first. See Add new stock and fix a count. If the item is marked sold out, see Mark an item sold out or hide it.

An orange message shows in the sheet

Read the message. It says what went wrong. Tap Cancel. Then tap Edit again and make your change.

What I changed is gone

The X at the top right closes the sheet without saving. Tapping the dark part of the screen does the same. Make your changes again, then tap Save changes. (In Add an item, the X only takes you back to the order.)

Tip

Will the customer pay the rest to your rider in cash? Tap Copy delivery details on the order page. Paste it in a message to your rider. The text says what to collect, like "Paid MVR 150. Collect: MVR 20 more (cash)".
