What it is

Time off stops bookings for someone who gets booked, like a person, a court or a room. Use it for a day off, Eid, a course or a holiday. Bookings already in that time are not lost: the app offers each one a new place first, or you cancel it. Customers can't book them during the time off.

Find it

  1. Tap the first tab in the bar at the bottom. It says Bookings or Orders.
  2. If Calendar is not picked at the top, tap Calendar.
  3. Tap the button with three dots at the top right, next to Day and Week. A sheet called Bookings opens.
  4. Tap Time off. A sheet called Time off opens.

The sheet starts on the day your calendar shows. To start on another day, tap the arrows next to the title before step 3.

On a computer, the tabs are in the bar on the left.

Every setting

Block the time

  1. Under Who is off, tap who is off. You can pick more than one.
  2. Leave Whole days picked. For a few hours, see Part of a day below.
  3. Tap the date under First day. Your phone's calendar opens.
  4. Tap the first day off.
  5. Tap the date under Last day.
  6. Tap the last day off. For one day off, pick the same day.
  7. If you like, type a note in Note (optional).
  8. Tap Block the time.

If no bookings are in the way, the sheet closes. A short message says who is off and when, like "Liya is off on Saturday."

If bookings are in the way, the sheet changes so you can move them. See Bookings in the way, below.

Who is off

Everyone who gets booked and is switched on has a button with their letter and name. Tap one to pick it. It turns green. Tap it again to take it off.

If only one is switched on, they are picked when the sheet opens. Until someone is picked, Block the time stays grey.

Whole days

Whole days is picked when the sheet opens. It blocks every hour of each day, from First day to Last day.

Both dates start on the day your calendar shows. You can't pick a day that has gone. If you pick a First day after the Last day, the Last day moves to match.

Part of a day

Use this to block a few hours on one day, like a doctor's visit.

  1. Tap Part of a day.
  2. Tap the date under Day. Your phone's calendar opens.
  3. Tap the day.
  4. Tap the time under From.
  5. Pick when the time off starts.
  6. Tap the time under To.
  7. Pick when it ends.
  8. Tap Block the time.

When you tap Part of a day, the time off runs from 13:00 to 17:00. Change it to the hours you need. If To is before From, a red line says "The end comes after the start."

Note (optional)

Type why, like "Eid". The box says "Eid, a course, a day off" until you type. The note shows on the time off on your calendar. Customers never see it.

Bookings in the way

When bookings are in that time, tapping Block the time changes the sheet. Its title says who is off and when, like "Liya is off on Saturday". Under it, a line says how many, like "3 bookings need a new place".

At the top, a small drawing shows the day. Outlined blocks are where bookings move from. Green blocks are where they move to.

Each booking has a row, like "Aisha · Gel polish", with its time on the right. Sometimes a reason follows, like "Shaha is busy". It says why nobody else can take it at the same time.

Under each row are new places, like "Shaha, same time" or "Sun 13:00". The first place is picked already. It is green. Then comes a Cancel button.

  1. Look at the green place on each row.
  2. To pick another place, tap it.
  3. Tap the green button at the bottom. It says what it does, like "Block Saturday, move 3".

The time off is saved, and each booking moves to its new place.

  • A request that waits for your answer has no place picked. It says "A request still waiting for your answer. Pick a place to keep for them; they're told it's held while you answer." Tap a place for it.
  • If no place fits, the row says "No free time for it in the next two weeks. Cancel it, or move it by hand first."
  • Until every row has a place, the button says, for example, "Pick a place for 1 more". It stays grey.
  • Change the time off takes you back, to change who or when.

Cancel instead

  1. Tap Cancel on the booking's row. A sheet asks, for example, "Cancel Aisha's booking?".
  2. Tap Cancel booking.

To keep the booking, tap Keep it.

The booking is cancelled at once, before the time off is saved. It stays cancelled even if you close the sheet. A short message says, for example, "Cancelled Aisha's booking". The row leaves the list.

The sheet says "Eveyla doesn't tell them, so message them after." If they paid online, send the money back yourself, as for any cancelled booking. See Move or cancel a booking.

If you cancel every booking in the way, the line says "Nothing is in the way now". Tap the green button, like "Block Saturday", to save the time off.

Tell them

After you save with moves, a sheet called Tell them opens. It lists each customer you moved. Each row shows the new time, like "Sat 13:00 with Shaha". Under it, it says what changed, like "Was with Liya" or "Was Sat 18:30".

  1. Tap Tell them on the first row. WhatsApp opens with the message ready.
  2. Send the message in WhatsApp.
  3. Go back to Eveyla. The row now says Told.
  4. Do the same for each row.
  5. Tap Done.

A row that says "no number" has Copy instead. Tap it to copy the message. Then send it another way. The row then says Copied.

A request that waits for your answer says "Still needs your answer. Accept or decline it from the booking." See Answer a booking request.

After Done, a short message says, for example, "Liya is off on Saturday. Moved 3."

Customers see

a WhatsApp message from your phone, with their new time and who it is with. If they booked online, their booking page shows the new time too.

Time off already there

If someone you picked already has time off then, a yellow box says Time off is already there. It adds "Remove it first, then block the new time." Each one shows who and when, like "Liya, Today, 15:00 to 18:00".

  1. Tap Remove it in the yellow box. A short message says "Time off removed".
  2. Tap Block the time.

While the yellow box shows, the button at the bottom says Remove the time off already there. It stays grey. Use Remove it in the box instead.

Time off on your calendar

In Day, time off is a grey striped block that says Time off. Your note shows under it. On today, the top of the person's lane says Time off while it lasts. In Week, it is a striped part of their lane.

Remove time off

  1. On the calendar, tap the arrows next to the title until you reach a day of the time off.
  2. If Week is picked, tap Day.
  3. Tap the Time off block. A sheet called Time off opens.
  4. Tap Remove this time off at the bottom. A sheet asks Remove this time off?
  5. Tap Remove time off.

To keep it, tap Keep it. After you remove it, a short message says "Time off removed". That time can be booked again.

Time off over several days is one block. Removing it frees every day. If you blocked two people, each has their own block. Remove each one.

You can't change the days or hours of a time off. Remove it, then block the new time.

To change the note, tap Add or Edit next to Note on the Time off sheet. Type the note. Then tap Save note.

Who can use it

  • The owner, senior managers and managers can block and remove time off.
  • Staff don't see Time off under the three-dot button. They see time off on the calendar and can tap it. They can add or change its note, but can't remove it.
  • You can block time off only while bookings are open. In the trial, or before you pay, Time off opens Bookings open when you pay instead. Once your plan stops, it opens New bookings are closed. You can still remove time off then.

Bookings need a Storefront. One person, court or room comes with the plan. For more, Bookings for more is an add-on. You can see its price in the add-on store. See Bookings for more.

Common mistakes

Block the time stays grey

Nobody is picked under Who is off. Tap who is off. If a red line shows, fix what it says. For example, "The end comes after the start." means To is before From.

The button says Remove the time off already there

Someone you picked already has time off then. Tap Remove it in the yellow box. Then tap Block the time.

A red line shows after the green button

  • "The new time for Aisha is taken. Pick another": someone booked that place a moment before. Tap another place on Aisha's row.
  • "Shaha needs Bookings for more to take new bookings": without Bookings for more, only one person, court or room takes new bookings. Tap a place on that row that is not with Shaha, or tap Cancel.

Then tap the green button again.

I closed Tell them before telling everyone

The list does not come back. Find each moved booking at its new time on the calendar. Tap it, then tap Message. WhatsApp opens, and you can tell them the new time. Message shows only when the booking has a phone number.

Time off opens Bookings open when you pay

Nothing can be booked or blocked before your plan is paid. See Open bookings. If it says New bookings are closed, see When your trial ends or your plan stops.

Tip

Block time off on the day you hear about it, like Eid or a course next month. Customers then book around it, and fewer bookings need a new time.
