What it is
Calling off a trip cancels one departure of a boat. A departure is one time the boat leaves, like 08:00 today. Everyone on it moves to another trip or gets their money back, and nobody can book that time. Use it when the sea is rough, the boat has a problem, or for any other reason.
Find it
You call off a trip from the boat list. The boat list is the sheet that opens when you tap a trip on your calendar. See Run a trip day with the boat list.
In a shop that started with bookings, the calendar is the first screen after you sign in:
- Tap Bookings in the bar at the bottom.
- If Calendar is not picked at the top, tap Calendar.
- Tap the trip in the boat's lane. It shows the time and the seats taken, like "08:00 · 11 of 12". The boat list opens.
- Tap Call off this trip at the bottom. It is in red, under the other buttons.
In a shop that sells and added bookings, the order board is the first screen:
- Tap Orders in the bar at the bottom.
- Tap Calendar at the top.
- Tap the trip in the boat's lane. The boat list opens.
- Tap Call off this trip at the bottom.
For another day, tap the arrows next to the title first. If Week is picked, tap Day first. See Your calendar.
A sheet opens. Its title asks, for example, "Call off 08:00?". For a trip on another day, the title has the day too, like "Call off Sat 08:00?".
On a computer, the tabs are in the bar on the left.
Every setting
Before you start, check any payment slips. A payment slip is the photo of a bank transfer. On the boat list, a row may say Slip to check.
- Tap the customer's row on the boat list. Their booking opens.
- If it has Check the slip, tap it. The order opens.
- Check the payment. See Check a payment slip and confirm payment.
A slip nobody checked shows as "nothing paid" when you call off. If that booking gets its money back, the slip can't be checked on the order any more.
To call off a trip:
- Under Why, tap Weather, Boat problem or Other.
- Under Move them to, tap where everyone goes. The first choice is picked when you start.
- the next trip with room
- Another trip
- No new time
- Read the green button. It says what will happen, like "Call off and move 5 bookings".
- Tap the green button.
A short message says what happened, like "Called off. 5 bookings moved to Tomorrow 08:00." If anyone was booked, a list opens next, so you can tell everyone. See "Tell everyone" below.
The top of the sheet
Under the title, a line says how many people and bookings are on the trip, like "11 people in 5 bookings". One booking can have many seats.
Sometimes nobody is booked, and only a customer is paying right now. Then the line says Nobody is booked on it. A note says "Nobody is booked on this trip. Calling it off closes it, so nobody books it." The green button says Call off this trip.
Why
Tap one: Weather, Boat problem or Other. Weather is picked when you start.
With Other, a box opens: Why, in a few words (they see it). Type a short reason, like "Engine repair". While the box is empty, it says A few words, so they know why. and the green button stays grey.
Customers seethe reason in their message and on their booking page, like "called off because of the weather", "because of a problem with the boat", or your own words in brackets.
The next trip with room
This is the first choice under Move them to. It is picked when you start. Its title is the day and time of the next trip with room, like "Tomorrow 08:00". The line under it says The next trip with room and how many fit, like "all 11 fit".
A row of seats shows the trip. Under it, "Booked 0" says how many are already on that trip. "Moving in 11" says how many you move there.
If no trip has room for everyone, the line says, for example, "No trip in the next two weeks has room for all 11". This choice turns grey. The sheet then picks Another trip or No new time for you.
If the other trips do not load, a red line says "The other trips didn't load." Tap Try again.
Another trip
Use this to pick the trip yourself. Before you pick, the line under it shows a few trips with free seats, like "Today 14:00 has 9 free".
- Tap Another trip. A sheet called Another trip opens.
- Tap a day at the top, like Today, Tomorrow or "Sat 17 Oct". It shows the days in the next two weeks with this trip.
- Tap a trip. Each one shows the time, when the boat is back, and how many fit, like "all 11 fit" or "9 of 11 fit". A trip that says Full cannot be picked.
- Tap the green button at the bottom. It says, for example, "Move them to Today 14:00".
If not everyone fits, a yellow box says, for example, "Not everyone fits on Today 14:00. Those who don't get their money back."
Back on the first sheet, the choice now shows your trip, like "Today 14:00". The line under it says, for example, "9 of 11 fit · 1 money back · Change". Tap it to pick another trip.
If no other trip has a free seat, Another trip is grey.
No new time
The line under it says Everyone gets their money back. Nobody moves. Every booking on the trip is cancelled, and requests end.
Who goes where
This button is under the choices when you move people. When some do not fit, it says how many fit first, like "9 of 11 fit. Who goes where".
- Tap Who goes where. A sheet opens with one row for each booking.
- On a row, tap Move or Money back.
- Tap Done.
Each row shows the name, and a line like:
- "To Today 14:00 · paid"
- "To Today 14:00 · deposit moves with them". A deposit is part of the price paid first.
- "To Today 14:00 · nothing paid"
- "Money back", or "Nothing paid, nothing to send"
- "2 don't fit · money back" or "2 don't fit · nothing paid". A group that does not fit cannot move. It has no Move button.
At the bottom, a note says "Money back goes through each order, as any refund. Paid at the Counter goes back by hand. Nothing paid means nothing to send."
Notes on the sheet
Some notes show under the choices:
- If the trip has requests, it says "Requests and yeses waiting for a deposit move with the rest and keep waiting." With No new time, it says they end, with the reason on their page. See Answer a booking request.
- If a customer is paying for seats right now, a yellow box says, for example, "Someone is paying for 2 seats right now." Those seats come off this trip. If their money comes, the booking waits in Needs you on the order board.
- When you move people, a green box says "Anyone who can't make the new time cancels on their booking page and gets everything back." This is true for customers who booked online. A customer you added yourself is told to message you.
The green button
It says what will happen, for example:
- "Call off and move 5 bookings": everyone moves.
- "Call off · move 4 · 1 money back": some move, the others are cancelled.
- "Call off · 5 money back": nobody moves.
The number counts bookings, not money. A booking that paid nothing is in the count too.
The button is grey when no trip is picked, or when Other has no reason typed.
Move them anyway?
The new time may be outside the boat's hours, or at prayer time. Then the app asks first, for example "The new trip starts at prayer time. Move them anyway?".
- Tap Move them anyway to go ahead.
- Tap Pick another trip to go back.
Tell everyone
After the call off, a sheet opens with everyone the call off touched. Its title says how many, like "Tell the 5 bookings". Under it, a line like "08:00 is called off. Moved to Tomorrow 08:00".
- Read the message under "The next one opens WhatsApp with this ready". It is for the row that says Next.
- Tap the green button at the bottom. It says "Tell" and their name, like "Tell Shaha". WhatsApp opens with the message ready.
- Send the message in WhatsApp.
- Go back to Eveyla. Their row now says Sent. The button shows the next name.
- Do the same for each customer.
The message says the trip is called off and why. It gives the new day and time, or says they get back what they paid. It has a link to their booking page. It never says an amount.
Each row shows the name and a line: the new time like "To Tomorrow 08:00", or Money back, or Nothing was paid.
A row that says "no WhatsApp" has Copy instead. Tap it, then send the message another way, like Viber. The row then says Copied.
At the bottom, a count like "2 of 5 told", and "Their booking pages already say so". When everyone is done, a green box says "Everyone has been told."
Customers seeon their booking page, that the trip was called off, and why. If they moved, it says your shop moved them to the new time. If not, a booking says Called off, with Book another trip. If they paid, it says your shop is sending their money back.
Send the money back
Eveyla does not send money. You send it yourself, then mark each order. Bookings that get their money back are cancelled. They leave your calendar, but a booking made online keeps its order.
- Tap Orders at the top, next to Calendar.
- Tap Done.
- Scroll down to Cancelled.
- Tap the order with the customer's name. The order page opens.
- Send the money to the customer yourself, by bank transfer or in cash.
- Tap Mark as refunded in the Payment part.
Under the button, the app says "Tap once you've returned the money to the customer." See Cancel or refund an order.
Money paid at the Counter goes back by hand. Give it to the customer yourself.
A called-off trip on your calendar
The trip stays on the day as a striped box, like "08:00 called off", with the reason under it. Nobody can book that time.
To open it again:
- Tap the striped box. A sheet called, for example, "08:00 called off" opens. It says the reason and "nobody can book it".
- Tap Open it again at the bottom. The app asks, for example, "Open 08:00 again?".
- Tap Open it again. To keep it, tap Keep it called off.
The app says "It can be booked again. Those moved or sent their money back stay as they are." Then a short message says, for example, "08:00 is open again".
Who can use it
- The owner, senior managers and managers can call off a trip and open it again.
- Staff do not see Call off this trip. Their boat list says "The owner or a manager adds seats and calls off a trip."
- When your plan stops, you can still call off a trip that has bookings. See When your trial ends or your plan stops.
Bookings need a Storefront. Trips with seats need Bookings for more, even with one boat. It is an add-on. You can see its price in the add-on store. See Bookings for more.
Common mistakes
There is no Call off this trip button
- You are staff. Ask the owner or a manager.
- The trip has left. Use Close the trip instead. See Run a trip day with the boat list.
- Someone is ticked on board, or marked Done. The boat list says "Someone is ticked on board, so this trip can't be called off from here." See below.
To take a tick off for one seat, tap the green button on their row, like "1 of 1".
To take a tick off for a group:
- Tap the green button on their row. A sheet called How many came? opens.
- Tap Not on board.
For someone marked Done:
- Tap their row. Their booking opens.
- Tap Undo.
When nobody is ticked or done, Call off this trip comes back.
The green button is grey
- You picked Other, but the reason box is empty. Type a few words.
- Another trip is picked, but no trip is chosen. Tap Another trip and pick one.
A red line says "The new trip filled up meanwhile. Check who fits and try again"
Someone booked seats on that trip a moment before. The sheet now shows the seats left. Tap Who goes where to see who fits now. Then tap the green button again.
I closed the Tell list before telling everyone
The list does not come back. Their booking pages already say the trip is called off.
To tell a customer who moved, tap the new trip on your calendar. Tap their row on the boat list. Then tap Message. WhatsApp opens. Message shows only when the booking has a phone number.
The cancelled order says to refund the deposit or keep it
When you call off a trip, the customer gets back everything they paid. Send it to them. Then tap Mark as refunded on the order.
Tip
When you can, move people instead of cancelling. What they paid moves with them, so you send no money back. Customers who booked online can still cancel on their page if the new time does not suit them.
