What it is
The prep sheet is a checklist for the orders customers place on your shop page. Sales from the Counter (the POS tab) are not on it. It has three steps: get the items ready, pack the orders, and send them out. It shows one job at a time, so it helps when several orders are waiting.
Find it
- Tap Orders in the bar at the bottom.
- Tap Live at the top, if it is not picked.
- Tap Prep sheet on the right of the same row. It is green.
Prep sheet shows only when an order from your shop page is new or being prepared.
On a computer, Prep sheet is at the top right of the order board. On a wide computer screen, the bar on the left also has it, under Shortcuts (shown in capital letters).
Every setting
The top of the page
- Orders at the top left takes you back to your order board.
- The round button with a printer at the top right makes delivery slips. See Prep sheet step 2: pack the orders.
- Under the Prep sheet title you see the date and how many orders there are, like "Fri 16 Oct · 5 orders".
- A green bar with "2 of 5 packed" fills up as you pack.
Which day?
Orders for later (pre-orders) can have their own day. When you have some, the date has a small arrow.
- Tap the date under Prep sheet. A sheet called Which day? opens. (A sheet is a panel that covers part of the screen.)
- Tap a day.
The rows say "Today, Fri 16 Oct", "Tomorrow", then days like "Sun 18". Each row shows how many orders it has, like "3 orders". A green tick shows the day you see now.
After you pick, the date under Prep sheet says "Tomorrow" or the day, like "Sun 18". A pre-order for a later day is on that day, not on today. When you leave the prep sheet and come back, it shows today again. See Take orders for later.
Which shop place?
You see this only if you keep stock in more than one place. After the number of orders, there is a place name with a small arrow.
- Tap the place name. A sheet called Which shop place? opens.
- Tap a place.
Each row shows the place name, its island under it, and how many orders it has. A green tick shows the place you see now. The prep sheet then shows only that place's orders. See Keep stock in more than one place.
The three steps
The steps go down the page, each with a number on the left. A finished step turns into a green tick.
- Step 1, Get the items ready: one list of everything the orders need. See Prep sheet step 1: get the items ready.
- Step 2, Pack the orders: one order, or one group of bags, at a time. See Prep sheet step 2: pack the orders.
- Step 3, Send them out: places where every order is packed, ready for your rider. See Prep sheet step 3: send them out.
Food shops see Cook as Step 1. (Food shops have the category Home food, Restaurant & café, or Bakery & cakes.) Their Step 1 card says Cook now, or a time like "For 14:30". It lists the dishes to cook first. See Prep sheet step 1: get the items ready.
Under Step 1 and Step 2, a short line says how far you are, like "5 items for 3 orders" or "2 left".
The step you are on has a card that says Up next (shown in capital letters). Only Step 1 and Step 2 have this card. It shows the next job and a big button. Do the job, and the next one shows. Step 2 starts when Step 1 is done or skipped.
Nothing to prep right now
When no orders are waiting, the page says "Nothing to prep right now" and "New orders show up here as they come in."
If you have orders for a later day, a button like 3 orders for tomorrow shows. Tap it to see that day.
Who can use it
Everyone in your team can use the prep sheet: the owner, senior managers, managers and staff.
The prep sheet needs a Storefront. It is not part of the free listing. See Free listing and Storefront.
Common mistakes
I don't see the Prep sheet button
It shows only in Live. It also needs an order from your shop page that is new or being prepared.
If Live looks empty, a choice you picked in Done may still be on. To clear it:
- Tap Done.
- Tap the funnel button on the right. It has no words, only a funnel picture (a cone, wide at the top).
- Tap All.
- Tap the funnel button again.
- Tap All time.
- Tap Live.
See Find an old order.
An order is missing
Check the date under Prep sheet. A pre-order for a later day is on that day: tap the date and pick it. If you keep stock in more than one place, check the place name too. A pay link order shows once it is paid, or once the customer chooses to pay cash. An order leaves the prep sheet once it is marked ready, on the way, delivered or cancelled.
My teammate's phone shows Step 1 not done
Ticks in Step 1, and Skip this step, stay only on the phone where you tapped them. Your teammate can tap Skip this step on their phone. Packed orders show on every phone.
It says "Couldn't load the prep sheet"
Check your internet. Tap Orders in the bar at the bottom. Then open the prep sheet again.
A red message shows after I tap a button
Your tap did not save. This can happen when you accept, pack or send. The message may say "Couldn't save that. Try again." Check your internet, then tap the same button again.
Tip
Keep the prep sheet open on one phone at your packing table. Packed orders show on every phone, so a teammate can send them out from their own phone.
