What it is

A request is a customer asking for a time before it is booked. While they wait, the time is kept for them. You say yes or no before the time shown on the request.

Requests come when I confirm each booking first is on in Booking online, or for a service set to Always under Your OK before it's booked. See Choose how customers book online and Make a service bookable.

Customers see

Ask instead of Book on that service. After they ask, nothing is paid until you say yes.

Find it

Requests wait in two places: in Needs you on the order board, and on your calendar.

In a shop that started with bookings, the calendar is the first screen after you sign in:

  1. Tap Bookings in the bar at the bottom.
  2. Tap Orders at the top. The order board opens.
  3. Look under Needs you. A request has a small Request label.
The bar at the bottom of a booking shop, with the Bookings tab marked.

In a shop that sells and added bookings, the order board is the first screen:

  1. Tap Orders in the bar at the bottom.
  2. If Calendar is picked at the top, tap Orders.
  3. Look under Needs you.

The number next to Orders at the top counts new orders and requests.

On the calendar, a request is a striped block with "Request · 15:45". Its tag says when to answer, like "Answer by 16:20". Tap it to open it. See Your calendar.

If you get order alerts, a request sends one too, like "Booking request · Aisha". Tap it to open the request. On Telegram, tap "Answer the request". See Get a ping for every new order and Get orders on Telegram.

On a computer, the tabs are in the bar on the left.

Every setting

The request card

Each request in Needs you is a card. The oldest is at the top. From top to bottom:

  • The customer's name, the Request label, and how long ago they asked, like "12 min".
  • What and when, like "Gel polish · Fri 16 Oct, 15:45 · with Liya". For a trip, it says how many seats they ask for.
  • Visits: "First time here", or how often they came before, like "Came 4 times before".
  • Pays: what they pay after your yes, like "MVR 135 deposit after your yes". With nothing to pay first, it says "MVR 450 at the visit".
  • Their note, For (when they book for someone else) and Option, when the request has them. Their answers to your questions show here too.
  • A small yellow box with a clock, like "Answer by 16:20". Answer before this time.
  • Decline and Accept.

Tap the card, not its buttons, to open the request on your calendar.

The request on the calendar

Tap the striped block. The booking sheet opens. A sheet is a panel that covers part of the screen. From top to bottom:

  • The day and time, like "Tomorrow, 15:45". Under it: "Request · asked today 13:08".
  • The tag "Answer by 16:20", next to the time.
  • Money: what they pay after your yes, like "MVR 135 deposit after your yes". Under it, what is left for the visit, like "MVR 315 at the visit".
  • The customer, their phone number, and "First time here" or their visits. "Their note, with the request" shows what they wrote.
  • Message: opens WhatsApp, to ask them something before you answer.
  • A line that says what each answer does, like "Accept asks Aisha for the MVR 135 deposit. Decline lets the time go."
  • Decline and Accept at the bottom.

Accept

  1. Tap Accept, on the card or at the bottom of the sheet. A short message says, for example, "Accepted. 15:45 is Aisha's". A sheet called "Tell Aisha" opens.
  2. Tap Send on WhatsApp. WhatsApp opens with the message ready.
  3. Tap send in WhatsApp.

From the card, the calendar opens first, with the request open under the sheet.

The sheet says "From your WhatsApp. Eveyla doesn't message customers." To send it another way, tap Copy message. Then paste it where you talk to them. When the request has no number, only Copy message shows.

What happens next depends on your Deposit to book rule in Booking online:

  • With a deposit, the time is theirs once they pay. The message asks them to pay the deposit by a time, and has the link to their booking page. The sheet says, for example, "If the deposit doesn't come by 15:20, the time goes back by itself, and their page says so." See "A yes waiting for its deposit" below.
  • With nothing to pay first, it is booked straight away. They pay at the visit. The short message says, for example, "Accepted. Aisha is booked for 15:45". The message gives them the link to their booking page.
Customers see

with a deposit, their page says "Yes · pay by 15:20 to keep it", and a box like "Pay MVR 135 to keep this time". They pay there by bank transfer or PayPal. With nothing to pay first, their page shows the booking. See Your customer's booking page.

Decline

  1. Tap Decline, on the card or at the bottom of the sheet. A sheet asks "Decline Aisha's request?".
  2. Under Why, tap a reason:
    • That time is taken
    • We're closed then
    • "Liya is away", with the name of who they asked for. For a court or room: Not free that day.
    • Other
  3. Change the note in the box under it, if you like.
  4. Tap "Decline and tell Aisha". WhatsApp opens with the message ready.
  5. Tap send in WhatsApp.

A reason writes its words in the note box, like "That time is taken." You can add your own words, like a time that is free. The box is called "A note for Aisha (they see it)". Under it, the app says: "Their page says it wasn't taken, with your note. Nothing was paid, so there's nothing to send back."

When the request has no number, the button says Decline and copy the message. It copies the message for you to send.

A short message says, for example, "Declined. 15:45 is free again". If WhatsApp did not open, a sheet says "Declined. WhatsApp didn't open, so the message is here to send." Tap Send on WhatsApp or Copy message.

Customers see

"Not taken" on their page, with "Nothing was paid." Your note shows under "Their note".

A yes waiting for its deposit

After you accept with a deposit, the request leaves Needs you. It stays on your calendar as a striped block with "Accepted · 15:45". Its tag says by when, like "Deposit due 15:00".

Tap the block to open it. A box says "Accepted · deposit due by 15:00" and how long is left, like "1 h 40 left". Under it: "MVR 135 deposit not paid" and "MVR 450 in all". A line says: "If it doesn't come by 15:00, the time goes back by itself, and their page says so."

You can wait, or tap one of these:

  • Send the link again, at the bottom: a sheet called "Tell Aisha" opens with a reminder to pay. Tap Send on WhatsApp or Copy message.
  • Book it without the deposit: a sheet called Book it without the deposit? opens. It says their booking page shows the booking, with nothing to pay before. Tap Book it, paid at the visit, or Not now. A short message says, for example, "Booked for 15:45, paid at the visit".
  • Let it go (red): a sheet called Let this time go? opens, with the same reasons and note box as Decline. Tap "Let it go and tell Aisha". A short message says, for example, "Let go. 15:45 is free again".

When the deposit comes, the booking is booked. If they sent a payment slip (the photo of a bank transfer), the booking shows Slip to check. See Check a payment slip and confirm payment.

Customers see

"Time let go" on their page, with "Nothing was paid." This shows when you let it go, and when the deposit does not come in time.

When nobody answers in time

If nobody answers before the time on the request, the time goes back by itself. The request leaves Needs you.

Customers see

"No answer in time" on their page, with "Nothing was paid."

A customer can also cancel their own request on their page. Then it leaves Needs you and your calendar. If you get order alerts, one says "Request cancelled".

Who can use it

The owner, senior managers and managers can accept, decline, book without the deposit and let a time go.

Staff see request cards and can open requests, but they have no Accept or Decline. The card says "Waiting for the owner or a manager to answer by 16:20. You can add walk-ins and mark arrivals as usual." A yes waiting for its deposit says "Waiting for the deposit by 15:00." with the same second line.

Only the owner can open Payment details.

Bookings come with the Storefront plan for one person, court or room. For more, Bookings for more is an add-on. You can see its price in the add-on store. See Bookings for more.

Requests come once bookings are open. In your free trial, nothing is booked. See Open bookings. After your plan stops, you can still decline. See When your trial ends or your plan stops.

Common mistakes

There is no Accept or Decline button

You are staff. Only the owner, a senior manager or a manager can answer. Ask one of them before the time on the card.

It says "Add your bank account or PayPal first, so they can pay the deposit"

Customers pay a deposit by bank transfer or PayPal, and your shop has neither. If you are the owner:

  1. Tap Payment details under the message. The Payment details sheet opens.
  2. Add a bank account or your PayPal ID. See Add your bank account, PayPal and cash on delivery.
  3. Open the request again.
  4. Tap Accept.

If you are not the owner, ask the owner to add one.

It says someone "already accepted this request"

Someone in your team answered first, for example "Shaha already accepted this request at 13:16." Their answer stays. If they declined, it says "Shaha already answered this request." Close the sheet. The calendar shows where the request is now.

It says "This request ran out at 16:20"

Nobody answered in time, so the time went back. The message goes on: "Message them if you still want to book them". To book them, message them. Then add the booking yourself. See Add a booking or a walk-in.

Accept shows another red message

The message says what to fix. For example:

  • "This service is Hidden on your shop. Set it to Shown to accept, or decline the request"
  • "Liya needs Bookings for more to take new bookings. Add it, or decline the request". Without Bookings for more, only one person, court or room takes new bookings. See Bookings for more.
  • "New bookings are closed, so this request can't be booked. Decline it, or pay your bill to take bookings". See When your trial ends or your plan stops.

Fix it and tap Accept again. Or tap Decline.

Tip

Turn on order alerts on your phone. Each new request then pings you, like "Booking request · Aisha". Answer it while the time is still kept for them. See Get a ping for every new order.
