What it is

The credit book is like a paper "who owes me" book, on your phone. When a customer takes something now and pays later, you write their name and the amount. The app adds it all up. When they pay, their lines are crossed off. Credit sales from the Counter (the POS tab) go into the book too.

Find it

If you are the owner or a senior manager:

  1. Tap Insights in the bar at the bottom.
  2. Tap Credit at the top. It is the last tab.

If you are a manager, you do not have the Insights tab. You can open the book in two ways:

  • On a customer's page, tap Credit book on the bar that says, for example, "Owes you MVR 350". This bar only shows when they owe you money. To open a customer's page, open one of their orders. Then tap See customer. See Your customers.
  • On a wide computer screen, tap Credit book under Shortcuts in the bar on the left.

On a computer, Insights is in the bar on the left.

In Insights, on the Money tab, Not paid yet also opens the credit book. See See money in and money out.

If you are the owner and do not see Insights, your shop is a free listing. The credit book needs a Storefront. See Free listing and Storefront.

New owners who picked Keep a credit book when they started come here first. A card says "This is your credit book". Tap Got it to close it. See Your first minutes in the app.

Every setting

To write down what someone took:

  1. Tap Write it down on the dark card at the top. If nobody is in your book yet, the button says Write the first one. A sheet called Write it down slides up. (A sheet is a panel that covers part of the screen.)
  2. Under Who took it (shown in capital letters), tap the person's name. For someone new, see Who took it below.
  3. Type the amount on the number pad. For example, 185.
  4. If you like, type what they took in the What for? (optional) box. For example, rice and oil.
  5. Tap the big green button at the bottom. It says, for example, Add MVR 185 to Ahmed's page.

A message at the bottom says, for example, "Ahmed now owes MVR 535". It has an Undo button, in case you made a mistake. Then Ahmed's page opens, with the new line on it.

The other parts of the book are explained below.

Who owes you, all on one page.

If your shop has no customers yet, the book shows a dark card with this title. It says: "Write a name and an amount. We add it up, help you ask on WhatsApp, and cross it off when they pay."

  • Tap Write the first one to write down your first person. Under it, the app says "No items needed."
  • Under "Have a paper book?", tap Copy it in. The Write it down sheet opens with "From my old book" in the What for? box. Add each person's total from your paper book, one person at a time.

Under these, three short steps show how the book works: "Write it down.", "Ask them to pay." and "Cross it off."

If your shop already has customers, you go straight to the list. To copy in a paper book there, use the Old book button. See What for? below.

The dark card

The card at the top shows what everyone owes you together:

  • A line like "3 people owe you · oldest 32 days". When nobody owes you, it says "Nobody owes you".
  • The total, like MVR 4,350.
  • A coloured bar that shows how old the money is. Green is "Under 14 days", yellow is "14 to 30 days" and orange is "Over 30 days". The amount for each is under its label.
  • Write it down: opens the sheet to write down a new amount.
  • Someone paid: shows when someone owes you. Tap it when a customer pays you. See Record a payment in the credit book.

Aisha sent a slip

A slip is the photo of a bank transfer. When a customer pays on the page you sent them, they send you a slip. A card then shows under the dark card. It says, for example, "Aisha sent a slip" and "MVR 500 by transfer · 2:15 pm". Tap Check to look at it. See Ask someone to pay what they owe.

Who owes you

This is the list of people who owe you. Tap a button above the list to choose what it shows:

  • Most owed (picked when you start): the biggest amounts first.
  • Oldest first: the people who have owed you the longest first.
  • Paid ahead: people who gave you more than they owed. If there are none, it says "Nobody has paid ahead."

To find someone, tap the round button with a magnifying glass, next to Who owes you. Type a name or phone number in the Name or phone box. The search also finds people who owe nothing. If nobody matches, it says "Nobody by that name or phone." Tap the X to close the search.

Each person shows:

  • their initials (the first letters of their name). Green, yellow or orange shows how old the money is. Blue means they paid ahead. Grey means they owe nothing.
  • their name, and how long they have owed, like "18 days" or "Today". It says "Paid ahead" or "Clear" when they owe nothing.
  • a blue Asked label if you sent them a page to pay. An orange Slip to check label if they sent you a slip.
  • the amount they owe, on the right. A blue amount means they paid ahead.

Tap a person to open their page.

When someone has paid ahead, a blue line under the list says, for example, "Aisha paid MVR 200 ahead". Tap it to see them.

When nobody owes you, the list says "Nobody owes you right now."

Who took it

This is the top of the Write it down sheet. Each customer has a button with their first name. Tap one to pick them. Swipe the row of names to the left to see more.

The line under the buttons says where they stand. For example, "Ahmed owes MVR 350 now", "Ahmed is MVR 200 ahead now" or "Ahmed owes nothing now". Before you pick, it says "Pick a person, or add someone new".

For someone new:

  1. Tap New person. It has a + in front.
  2. Type their name in the Their name box.
  3. If you have it, type their phone number in the Phone (optional) box.

The line then says "A new page starts for them".

Can't see the person? Tap the magnifying glass button next to New person. See Pick a customer below.

Pick a customer

This sheet opens when you tap the magnifying glass in Who took it. It lists all your customers. The ones who owe the most are at the top.

  • Type in the Search name or phone box to find someone.
  • Each customer shows their orders and what they owe, like "owes MVR 300". People who owe nothing say "Clear". People who paid ahead show "In credit MVR 200" in green.
  • Tap a customer to pick them.

To add someone new here:

  1. Tap New customer.
  2. Type their name in the Name box.
  3. If you have it, type their phone in the Phone · optional box.
  4. Tap Save customer.

To stop adding, tap Cancel.

At the bottom, the app says: "Saved once, found forever. No more three different Ahmeds in the book." Search first, so nobody is in the book twice.

Amount

The big number is the amount, like MVR 185. You type it with the number pad under it. The phone keyboard does not open for it.

  • Tap the dot key for an amount like 184.50.
  • Tap the delete key (bottom right) to take off the last number.

If your shop adds GST or an extra charge, some amounts cannot be saved exactly. The sheet then shows a note like "Saves as MVR 184.99. Your tax rounding can't land on MVR 185 exactly." Sometimes the message after you save says, for example, "Saved MVR 185.50. Your tax settings changed the total."

On a computer, you can also type the amount on your keyboard.

What for?

Type what they took in the What for? (optional) box, like "Rice and oil". Tap Old book to fill in "From my old book". Use it when you copy totals from a paper book.

On the person's page, the line shows what you typed. If you leave the box empty, the line says "Written in".

Customers see

no message from the app. They only see their lines if you send them a page to pay.

Add MVR 185 to Ahmed's page

This big button saves the line. Before you pick a person, it says Add to their page. It stays grey until you pick a person and type an amount.

When there is no internet, the button says Needs internet. You need the internet to save.

Pick items at the Counter instead

This link is at the bottom of Write it down. Tap it to sell the real items instead. The Counter opens with Credit already picked as the way to pay. If you picked a person from your book, they are already added to the sale.

  1. Tap the items to add them.
  2. Tap Charge at the bottom. A sheet called Charge opens.
  3. If the sheet shows Pick a customer, tap it.
  4. Tap the customer.
  5. Tap Put MVR 350 on credit. It shows your total.

A person's page

Tap a person in the list to open their page. It looks like a page in a paper book.

At the top:

  • Credit on the left takes you back to the list.
  • A round button with three dots on the right has more options. See Fix a mistake in the credit book.
  • Their name, and their phone number or "No phone". Tap the phone button to call them.

Then there is one line for each sale and each payment, with the date on the left. The oldest line is at the top.

  • A sale says "Counter sale #123", or what you typed in What for?. Under it are the items, or "Written in". The amount has a + in front, like +350.
  • When part of a sale is paid, a small bar shows with "MVR 150 left".
  • When a sale is fully paid, it is crossed off with a green line.
  • A payment says "Paid in cash" or "Paid by transfer". Its amount has a minus in front.
  • Paid lines older than 30 days fold into one line, like "4 paid lines". Tap it to see them.
  • Lines with "corrected", "Voided" or "Given back" are fixes. See Fix a mistake in the credit book.

When a page has no lines, it says "Nothing on this page yet."

At the bottom of the page, it says "Ahmed owes", how long, and the total. For example, "18 days", "since 28 Sep" and MVR 350. When nothing is owed, it says "All clear".

Under the page, the app says: "Today's lines can be undone until midnight. Tap any line to see it or fix it."

The bar at the bottom of the screen has three buttons:

Credit sales at the Counter

You can also sell on credit at the Counter. On the Charge sheet, tap Credit. Then pick the customer. Tap Put MVR 350 on credit. See Take cash, card, transfer or credit at the Counter.

The sale goes on the customer's page in the book, as "Counter sale #123" with its items. After the sale, tap View credit book to see it.

Who can use it

The owner, senior managers and managers can use the credit book. Owners and senior managers find it in Insights. Managers open it from a customer page, or from Shortcuts on a wide computer screen.

A few fixes are for the owner only. See Fix a mistake in the credit book.

The credit book needs a Storefront. It is not part of the free listing.

Common mistakes

The big button is grey

Pick a person under Who took it. Then type an amount. If the button says Needs internet, connect to the internet first.

The same person is in my book twice

Before you tap New person, tap the magnifying glass. Search for their name or phone. Then pick them from the list.

I wrote it on the wrong person, or the wrong amount

Tap Undo in the message at the bottom, right after you save. If the message is gone, see Fix a mistake in the credit book.

It says "Your tax settings haven't loaded yet."

Check your internet. Then close the sheet with the X at the top right, and open it again.

I can't find Copy it in

Copy it in only shows when your shop has no customers yet. Tap Write it down instead. Then tap Old book next to the What for? box.

Tip

Save a phone number for each customer. When you ask them to pay, WhatsApp opens their chat. You can also call them from their page.
