What it is
Each time your boat leaves is a trip on your calendar. Its boat list shows the boat's seats and every booking on that trip. On the day, you tick people as they board, take payment at the boat, and close the trip after it leaves. The owner and managers can also add seats or call the trip off.
Find it
In a shop that started with bookings, the calendar is the first screen after you sign in:
- Tap Bookings in the bar at the bottom.
- If Calendar is not picked at the top, tap Calendar.
- If Week is picked, tap Day.
- Tap the arrows next to the title until you reach the day of the trip.
- Tap the trip in your boat's lane (its column). It shows the time and the seats taken, like "08:00 · 11 of 12". The boat list opens.
In a shop that sells and added bookings, the order board is the first screen:
- Tap Orders in the bar at the bottom.
- Tap Calendar at the top.
- If Week is picked, tap Day.
- Tap the arrows next to the title until you reach the day of the trip.
- Tap the trip in your boat's lane (its column). The boat list opens.
The top of your boat's lane shows its seats and trips that day, like "12 seats · 2 trips". A trip shows on the calendar once someone books it.
Are you staff, with your own lane on the calendar? Then the calendar opens on My day. Tap Everyone to see the boat.
On a computer, the boat list opens over the calendar.
Every setting
On the day of a trip, you use the boat list like this:
- Tick people on board as they get on the boat.
- Take payment from anyone who pays at the boat.
- Close the trip after the boat leaves.
The steps for each are below.
The top of the boat list
The title shows the time and your boat, like "08:00 · Boat 1". The line under it shows the day, when the boat is back, and how many seats are taken. For example: "Sat 17 Oct · back about 11:30 · 11 of 12".
Once you tick someone, the end of the line says how many are on board, like "6 on board". After the boat leaves, the middle says when it left, like "left 08:00".
To close the boat list, tap the X at the top right.
The seats
Under the title, a row of small boxes shows the boat's seats. One box is one seat.
- A coloured box is a booked seat. Each booking has a colour. Under the row, it says Each colour is one booking. The round letter on the booking's row below has the same colour.
- A striped box is a seat someone asked for, or is paying for online right now.
- An empty box is a free seat. On the right, it says how many are free, like "1 free", or Full.
Once you tick someone, the words under the row change, like "6 on board · 2 not yet".
Sold on this trip and To take at the boat
Two boxes sit under the seats:
- Sold on this trip: what the booked seats on this trip sold for.
- To take at the boat: money still to take from people on this trip. After the boat leaves, this box is called Left to take.
On this trip
Under On this trip, each booking has a row, in the order they booked. A row shows a round letter, the name and a line.
The name is one person, like "Aisha". For a group, it is the first name and how many more, like "Shaha + 3" for 4 seats.
The line says how many seats, the size if your trip has sizes, and the money. For example:
- "1 seat · paid"
- "4 seats · MVR 450 at the boat"
- "1 seat · deposit paid · MVR 315 at the boat". A deposit is part of the price, paid when booking.
- "2 seats · answer by 20:00": a request that waits for your answer.
- "2 seats · deposit due 15:00": you said yes, and it waits for their deposit.
- "1 seat · held while they pay": a customer is paying online right now.
On the day of the trip, a booking you can tick has a button on the right, like 0 of 4. Other rows show a tag or an arrow:
- Request: tap the row to answer it. See Answer a booking request.
- Slip to check: the customer sent a payment slip (the photo of a bank transfer), and nobody has checked it. See Check a payment slip and confirm payment.
- Done or Didn't come, once the booking is marked.
To open a booking, tap its row, not the button. Close the booking to come back to the boat list. See When the customer comes.
Before anyone is ticked, a note under the list says "Tap the button on a row as people board. Tap a row for the booking."
Tick one person on board
You can tick people only on the day of the trip.
- When the customer boards, tap 0 of 1 on their row.
The button turns green and says 1 of 1. A short message says "Aisha on board", with Undo.
Customers see"You're here" on their booking page, if they have one. See Your customer's booking page.
How many came?
For a booking with 2 or more seats, the app asks how many came.
- Tap the button on the group's row, like 0 of 4. A sheet called How many came? opens.
- If some did not come, tap the minus until it shows how many came. It starts at all 4.
- Tap the green button at the bottom, like 3 on board.
The row's button turns green, like 3 of 4. The line under the name says "3 of 4 came". A short message says "3 of Shaha's 4 on board". When all came, it says "Shaha + 3 on board". The message has Undo.
In the sheet, the seats show who came, like "3 on board" and "1 didn't come". The sheet also says "They pay for the 4 seats they booked."
If nobody in a group came, do not tick them.
To change the number later:
- Tap the green button on their row, like 3 of 4. The sheet opens again.
- Tap the minus or plus.
- Tap the green button at the bottom.
Take payment
When someone on board still has money to take, a Take payment button shows at the bottom. The number on it says how many bookings, like "Take payment · 3".
- Tap Take payment. A sheet called Take payment opens. It lists the people on board who pay at the boat.
- Tap the green amount next to a name. Their booking opens, ready to mark done.
Only people ticked on board are on the list. Someone who paid in full online is not on it.
For a customer who booked online, a sheet called Done. Take the rest opens:
- Under How did they pay, tap Cash, Card or Transfer.
- Tap the green button at the bottom, like "Received MVR 315 cash".
A short message says, for example, "MVR 315 received in cash. The order is closed." The booking is marked done. The boat list opens again.
For a booking you added by hand, a sheet asks "Done with Aisha?". If the Counter is on:
- Tap "Take MVR 450 at the Counter". The booking is marked done. The Counter opens with the trip on it.
- Take the payment at the Counter.
The Counter opens with one seat, and that button shows the price of one seat. For a group, set the number to the seats they booked before you take the money. See Make a sale at the Counter.
If the Counter is off, the sheet says "This marks the booking done. Take any payment as you do today." Tap Mark done. See When the customer comes.
If a customer sent a slip that nobody checked, their row shows Slip to check instead of an amount. The sheet says "Check the slip on the order first. They can board meanwhile." See Check a payment slip and confirm payment.
Add seats
The owner, senior managers and managers see Add seats at the bottom, before the boat leaves.
- Tap Add seats. A sheet called Add a booking opens. The trip, the boat, the day and the time are picked for you.
- Type their number in Their number.
- Type their name in Name.
- Next to Seats, tap the plus until it shows how many seats they want.
- Tap the green button at the bottom, like "Add 3 seats on 08:00".
Each time the boat leaves that day shows as a card. The picked card is green. On the right, each card says how much room it has, like "6 left after yours", "The last seats", "1 free, not enough" or Full. If this trip has no room, tap another card. See Add a booking or a walk-in.
When no seat is free, the button at the bottom of the boat list says Full, and you cannot tap it.
Staff do not see Add seats. Under the list, they see "The owner or a manager adds seats and calls off a trip."
Close the trip
After the boat leaves, Close the trip shows at the bottom. Closing marks everyone ticked on board as done. Everyone not ticked is marked as didn't come.
- Tap Close the trip. A sheet asks "Close the 08:00 trip?". It lists everyone on the trip.
- Tap Close the trip at the bottom of the sheet.
A short message says, for example, "Closed. 3 done, 1 didn't come."
Look at the sheet before you tap the button. Under the title, it says when the boat left and how many came, like "It left at 08:00 · 6 came". People on board have the tag Done. People not ticked show like "Liya + 1 didn't come", with the tag Didn't come.
Under each name that didn't come, the sheet says what happens to their money:
- "Your rule keeps MVR 135. It counts as a sale."
- "Your rule sends back what they paid, from the order."
- "Nothing was paid."
You set this rule in Bookings settings, in Booking online, under If they cancel late or don't come. See Choose how customers book online.
Customers seetheir booking page says it is done and thanks them for coming. Or it says "Marked as didn't come", and asks them to message your shop if that's wrong.
Undo a tick
Right after a tick, tap Undo on the short message.
Later, for one person:
- Tap the green 1 of 1 on their row.
A short message says "Aisha is not on board".
Later, for a group:
- Tap the green button on their row, like 3 of 4. The How many came? sheet opens.
- Tap Not on board at the bottom.
After you close the trip, undo a booking from its own sheet. Tap its row on the boat list, then tap Undo. See When the customer comes.
Staff can undo only for a short while. After that, the app says "Too late to undo. Ask the owner or a manager".
Call off this trip
Before the boat leaves, the owner and managers see Call off this trip in red, under Add seats. Use it when the trip cannot go, for example in bad weather. See Call off a trip.
It shows only while nobody on the trip is ticked on board, or marked done or didn't come. Once someone is, the boat list says "Someone is ticked on board, so this trip can't be called off from here."
Who can use it
- Everyone in your team can open the boat list, tick people on board, take payment and close the trip: the owner, senior managers, managers and staff.
- Only the owner, senior managers and managers see Add seats and Call off this trip.
- Staff can undo a tick only for a short while.
- If your plan stops, you can still run the trips that are booked. Add seats then opens a sheet called New bookings are closed. See When your trial ends or your plan stops.
Bookings come with the Storefront plan for one person, court or room. Anything with seats needs Bookings for more, even with one boat. It is an add-on. You can see its price in the add-on store. See Bookings for more.
Common mistakes
There is no button to tick people
You can tick people only on the day of the trip. On other days, the rows show an arrow or a tag. Check the date in the line under the title of the boat list.
A request has no button either. Answer it first. See Answer a booking request.
People who came show as "didn't come"
Close the trip marks everyone not ticked as didn't come. On the day of the trip, tick people before you close. On a later day, there is no button to tick. Then, before you tap Close the trip:
- Tap the person's row on the boat list. Their booking opens.
- Tap Done at the bottom. It may say how much to take, like "Done, take MVR 315". See When the customer comes.
Already closed the trip? Tap their row, then tap Undo. Then tick them, or tap Done, as above.
Close the trip is grey
Someone on board still owes money, or sent a slip that nobody checked. The sheet says, for example, "Shaha still owes. Take the money first, or check the slip on the order."
- If their row has a button like "Take MVR 315", tap it and take the money.
- If their row says Check the slip, close the sheet. Tap their row on the boat list. Their booking opens. Tap the order number under the title, like "order #204". The order opens. Check the slip there. See Check a payment slip and confirm payment.
Then tap Close the trip again.
Call off this trip is gone
- Someone is ticked on board, or marked done or didn't come. Take the ticks off first. See "Undo a tick" above.
- The boat has left. Close the trip instead.
- You are staff. Ask the owner or a manager.
It says "Too late to undo. Ask the owner or a manager"
Staff can undo a tick only for a short while. Ask the owner or a manager to undo it.
Tip
Open the boat list at the jetty before people arrive. Tick each person as they step on board. Then Take payment lists everyone who still has to pay, and Close the trip marks everyone the right way.
