What it is
When you tap Charge on the Counter (the POS tab), a sheet called Charge opens. (A sheet is a panel that covers part of the screen.) Here you check the total and pick how the customer pays. Cash, Card and Transfer record the sale as paid. Credit records it as unpaid until the customer pays you. It goes in your credit book, your list of who owes you money.
Find it
- Tap POS in the bar at the bottom. The Counter opens.
- Tap the items the customer wants.
- Tap Charge in the green bar at the bottom. A sheet called Charge opens.
On a computer, tap Charge · MVR 85 at the bottom of the sale on the right. The sheet opens in the middle of the screen.
If you do not see POS, see Turn on the Counter.
Every setting
To take the money:
- Check the big amount at the top of the sheet.
- Under Paid now or Paid later (in capital letters), tap how the customer pays.
- Follow the steps for that way to pay, below.
- Tap the big green button at the bottom.
A sheet called Sale complete opens. See Make a sale at the Counter.
The sheet starts on the way to pay you used last time on this phone. The first time, it starts on Cash. Check it before you tap the button.
To close the sheet without selling, tap the X at the top right. Your sale stays on the Counter.
To collect
At the top, the sheet says To collect (in capital letters) and the amount. For credit, it says Goes on credit.
Next to the amount, a button says how many items are in the sale, like "3 items". Tap it to see the list. Tap the minus or plus button to change how many. Tap Clear sale to empty the sale and close the sheet.
Service charge, GST and fees
The Counter adds these lines by itself, from your settings. They show under the amount, after Items:
- Your service charge, with your own name for it, like "Service charge 10%". It shows only when your service charge is on. Its switch Charge it at the counter too must be on too. See Add a service charge.
- A fee on an item, like "Plastic bag · 3 × MVR 1". See Packs and barcodes: fees on items.
- "GST 8%", only when GST is added on top of your prices. When your prices include GST, there is no extra line. See Add GST to your prices.
If the sheet says "Your service charge and GST settings haven't loaded, so the saved total can be higher.", check your internet before you take the money.
Customers seethe same lines on their receipt.
Customer and Discount
Two tiles sit under the amount:
- Customer ("Optional"): add the customer to the sale. Credit needs one. See Add a customer to a Counter sale.
- Discount ("MVR or % off"): take money off the sale. See Give a discount at the Counter.
Some shops also see a card called Customer is a business?. It needs the Bills and GST add-on, with GST and your TIN (tax number) set up. See Bills and GST: tax invoices.
Cash
- Under Paid now, tap Cash.
- Tap what the customer gives you. The choices are under these steps.
- Look at the box on the right. It says Change to give and the change, in green.
- Tap Confirm cash · MVR 85.
For step 2, pick one:
- Exact, if they give the exact amount
- a round amount, like MVR 100
- the number keys, to type any other amount
You don't have to type what they gave. Until you do, the Received box says "Tap below". You can tap Confirm cash straight away.
If the box says Still short in orange, the customer gave less than the total. Ask for the rest. The button still works, so check the money before you tap it.
On the Sale complete sheet, Change due shows the change in big numbers.
Customers see"PAID · CASH" on the receipt. When you typed what they gave, a line like "Cash MVR 100.00 · change MVR 15.00".
On a computer, the Received box says "Type or tap". You can type the amount on your keyboard and press Enter to confirm.
Card
Use this when the customer pays on your own card machine.
- Under Paid now, tap Card. The sheet says "Run MVR 85 on your card machine".
- Type MVR 85 on your card machine, so the customer can pay.
- Wait until the machine says Approved.
- Tap Card approved · MVR 85.
If the card does not work, pick another way to pay.
The app says: "Records as paid by card. It shows as Card in Close the day and stays out of the cash drawer count." See Close the day.
Customers see"PAID · CARD" on the receipt.
Transfer
Use this when the customer pays by bank transfer while they are with you.
- Under Paid now, tap Transfer. Your bank account shows, like "BML ···· 1234", with the account name.
- If the customer needs your account number, tap the copy button on the right. It says "Copied".
- Paste the number in your chat with the customer.
- Wait until you can see the money in your bank app.
- Tap Money is in · MVR 85.
The app says: "Confirm only once you can see MVR 85 in your bank app." If the money is not in yet, tap Not in yet? Send a pay link. The customer can then pay on their own phone. See Send a pay link.
If you have more than one bank account, the first one in your list shows. If you have none, the app says "No bank account on your shop yet. Add one in Settings so customers can see where to send it." See Add your bank account, PayPal and cash on delivery.
Customers see"PAID · TRANSFER" on the receipt.
Credit
Use this when a customer takes the items now and pays later. The sale goes into your credit book, under their name.
- Under Paid later, tap Credit. It says "On the book" under it.
- The Customer tile turns orange and says Pick a customer. Tap it. A sheet called Pick a customer opens.
- Tap the customer in the list.
- Read the orange note. For example: "Records as unpaid. Aisha will owe MVR 85."
- Tap Put MVR 85 on credit.
To find a customer, type a name or phone number in the Search name or phone box. To add someone new, tap New customer. See Add a customer to a Counter sale.
If the customer already owes you, the note says what they owe now and after this sale. If they paid you ahead, it says that money goes toward this sale first.
The Sale complete sheet says "Sale #12 · in the book." and what the customer owes now, like "MVR 85 · Aisha now owes MVR 435". In the credit book, the sale shows on their page as "Counter sale #12". To record their payment later, see Record a payment in the credit book.
Customers see"ON CREDIT" on the receipt, and "On the book" next to the QR code.
You can also start a credit sale from the credit book. In Write it down, tap Pick items at the Counter instead. The Counter opens. Tap the items. Then tap Charge. Credit is already picked. If you picked someone already in your book, they are added too. See Keep a credit book.
Pay link
Pay link is the other tile under Paid later. It sends the customer a link, so they can pay on their phone. With no internet, the tile is grey and says "Needs internet". See Send a pay link.
Who can use it
Everyone who can open the Counter can use the Charge sheet: the owner, senior managers, managers and staff. The credit book itself is for the owner, senior managers and managers. See Keep a credit book.
Only the owner can change the service charge, GST and bank accounts, because only the owner sees Settings.
All of this needs a Storefront. Fees on items also need the Packs and barcodes add-on.
Common mistakes
The big button is grey
Read the line above it:
- "Pick a customer first." You picked Credit. Tap the orange Pick a customer tile to pick the person.
- "The discount is more than the items. Change it first." Tap the Discount tile and make it smaller.
- "Nothing on the counter." Close the sheet. Then tap some items.
A red message shows on the Charge sheet
The sale did not go through. Read the message:
- "You're offline. Credit sales need a connection so the book stays right." Credit needs the internet. Wait until your phone is back online. Or take Cash, Card or Transfer, which can be saved while you are offline. See When the internet drops at the Counter.
- "Digital sales need a connection." The sale has a digital item, like a top-up code. Wait until your phone is back online. Then tap the button again.
Credit is grey and says Not for digital items
The sale has a digital item, like a top-up code. Digital items cannot go on credit. Pick another way to pay.
The total is more than the items
Your shop adds a service charge, GST or a fee. The lines under the amount show each one. Only the owner can change them, in Settings. See Add a service charge and Add GST to your prices.
I picked the wrong way to pay
The sale is already saved. Reverse it (this cancels the sale). Do not tap Mark as refunded, because no money went back. Then make the sale again with the right way to pay. See Counter receipts and fixing a sale. Next time, check the tile before you tap the button. The sheet starts on the way you used last time.
Tip
If a customer's transfer is slow, they do not have to wait with you. On Transfer, tap Not in yet? Send a pay link. They pay later on their own phone. The order waits on your order board until they pay.
