What it is

When someone pays you back, in cash or by bank transfer, record it in the credit book. Before you save, the app shows which lines the money crosses off. If they pay more than they owe, the extra is kept for next time.

Find it

If you are the owner or a senior manager:

  1. Tap Insights in the bar at the bottom.
  2. Tap Credit at the top. It is the last tab.

Managers open the credit book another way. See Keep a credit book.

Every setting

To record a payment:

  1. Tap Someone paid on the dark card at the top. A sheet called Who paid? slides up. (A sheet is a panel that covers part of the screen.)
  2. Tap the person who paid. Each button shows a first name and what they owe, like "Aisha · 350".
  3. The title changes to Aisha paid. The amount shows everything Aisha owes. If she paid less, change the amount. See Amount below.
  4. Tap Cash or Transfer.
  5. Read the box that says what the money crosses off.
  6. Tap Got MVR 350 in cash at the bottom. It says Got MVR 350 by transfer if you tapped Transfer.

A message at the bottom says, for example, "Aisha now owes MVR 150" or "Aisha is all clear". If she paid too much, it says "Aisha is MVR 100 ahead". The message has an Undo button. Then Aisha's page opens, and the paid lines are crossed off with a green line.

You can also start from a person's page (see Keep a credit book). Tap the green Aisha paid button at the bottom. The sheet opens with Aisha already picked. Go on from step 3.

Who paid?

This is the sheet you see after you tap Someone paid. Only people who owe you have a button. Swipe the row of names to the left to see more. Before you pick, it says: "Pick who paid. You'll see what it crosses off before you save."

After you pick, the line under the title says "Owes MVR 350", or "Owes nothing now".

Want to record money from someone who owes nothing? They are not in Who paid?.

  1. Close the sheet with the X at the top right.
  2. Tap the magnifying glass next to Who owes you.
  3. Type their name.
  4. Tap them. Their page opens.
  5. Tap the green button at the bottom with their name, like Aisha paid.

Amount

The amount starts at everything the person owes. The buttons under it change the amount with one tap:

  • All 350: everything they owe.
  • 1,000, 500 or 100: these show when they owe more than that.

To type a different amount, first tap the delete key until the amount shows 0. It is at the bottom right of the number pad. Then type what they gave you.

The number pad is explained in Keep a credit book.

Cash and Transfer

Tap how they paid. Cash is picked when you start. Tap Transfer only after you see the money in your bank.

On their page, the payment shows as "Paid in cash" or "Paid by transfer", with "Recorded here" under it.

Crosses off

This box shows what the payment will cross off, before you save. Its first line is in capital letters.

  • "Crosses off · leaves MVR 150": they will still owe MVR 150.
  • "Crosses off everything": they will owe nothing.
  • "✓ Counter sale #123": this line will be fully paid.
  • "Counter sale #124 · 50 left": this line will be part paid, with MVR 50 still to pay.
  • "MVR 100 kept as paid ahead": they gave you MVR 100 more than they owe.

Lines you wrote down by hand show what you typed in What for?, like "✓ Rice and oil".

Before you type an amount, the box says "Type what they gave you."

Got MVR 350 in cash

This big button saves the payment. It shows the amount and the way they paid. When there is no internet, it says Needs internet. The green paid button on their page also looks pale.

When a customer gives you more than they owe, the extra is kept for them. The bottom of their page says "All clear". Under it, it says, for example, "Paid MVR 100 ahead. It goes toward the next one." In Who owes you, they show under Paid ahead, with the amount in blue.

At the Counter (the POS tab), their next credit sale shows a note like "Records as unpaid. Aisha has MVR 100 in credit, which goes toward this sale first."

If you give the extra money back, the owner can record it. See Fix a mistake in the credit book.

The same payment twice

Sometimes a payment looks like one that was saved a moment ago. Then a yellow box asks first. For example: "This looks like one you just recorded: MVR 350 by cash at 14:15."

  • Tap It's a new payment if they really paid again.
  • Tap Don't record if it is the same payment.

If the payment was already saved, the message says "Already recorded".

Payments from slips

You can also send a customer a page where they can pay you. They pay by bank transfer or PayPal. Then they send a slip (a photo of the payment). You check the slip, and the payment is added for you. It shows as "Paid by transfer" or "Paid by PayPal", with "From their slip" under it. See Ask someone to pay what they owe.

Customers see

no message from the app when you record a payment here.

Who can use it

The owner, senior managers and managers can record payments. Anyone in that list can undo a payment on the same day, until midnight. After that, only the owner can undo it.

The credit book needs a Storefront.

Common mistakes

They paid less, but the amount shows everything

Tap the delete key until the amount shows 0. Then type what they gave you. Or tap 500 or 100 if that is what they paid.

I can't see Someone paid

It only shows when someone owes you. To record money from someone who owes nothing, open their page. Then tap the green button with their name, like Aisha paid. See Who paid? above.

The button says Needs internet

Payments need the internet. Connect, then tap the button again.

I recorded the wrong amount

Tap Undo in the message at the bottom, right after you save. Later the same day, tap the payment on their page. Then tap Undo, it was a mistake. See Fix a mistake in the credit book.

Tip

Record the payment while the customer is still with you. Show them the Crosses off box, so you both agree on what is left.
