What it is
Each order has its own page. It shows the payment, the steps, the items, the customer and where the order goes. Open it when you need the details. For example, open it to call the customer, or to send the address to your rider.
Find it
- Tap Orders in the bar at the bottom.
- For a finished order, tap Done at the top.
- Find the order card. New orders are under Needs you.
- Tap the order card, not the button on it.
The order page opens. To go back to the order board, tap the arrow at the top left.
On a computer, Orders is in the bar on the left. The order opens on the right side of the order board.
If the first tab says Home, your shop is a free listing. Orders need a Storefront. See Free listing and Storefront.
Every setting
The page is split into parts. Most parts have a small grey title in capital letters, like PAYMENT. On a phone, they come in the order below.
The page for a sale at the Counter (the POS tab) is shorter. It has no Payment, Items or Delivering to part. See Counter receipts and fixing a sale.
Order #12
The top of the page shows the order number. Under it, it says where the order came from and when, like "Online · 5m ago". It says "Pay link" or "Counter" for those orders.
Under that is a card with:
- the order number in a square. The square is green when the order needs you.
- the customer's name. A pay link order also has an orange Pay link tag.
- how long the new order has waited, like "Waiting 5 min". It turns orange when the order is late. After you accept it, this shows the step, like "Preparing".
- how the order gets to the customer, like "Delivery" or "Pickup at shop". Others are "Dine-in · Table 4", "Ferry", "Air cargo" and "Digital · nothing to deliver".
- the day and time, when the customer ordered for later.
WhatsApp and Call
Two round buttons are on the right of the top card.
- Tap the green WhatsApp button to message the customer. WhatsApp opens with a message ready, like "Hi Aisha, this is (your shop name) about your order #12."
- Tap the phone button to call the customer.
You do not see these buttons on Counter sales, or when the order has no phone number.
Customer owes or Refund to customer
This card can show at the very top. It shows after you change an order that is paid, or has a payment slip waiting. (A payment slip is a photo of a bank transfer.) It says how much more the customer owes, or how much to give back. See Change an order.
Payment
How the customer pays, and the button to record the money. See Check a payment slip and confirm payment.
On a pay link order, this part looks different. See Follow up on a pay link.
Tax invoice
You see this part only with the Bills and GST add-on. GST (a tax) must also be on. Only the owner, senior managers and managers see it. See Bills and GST: tax invoices.
Status
The steps of the order, with Accept order and the buttons that start with Mark as. See Accept an order and move it along. To cancel, see Cancel or refund an order.
Stock from
Only shops that keep stock in more than one place see this part. It shows which place the stock comes from. See Send an order out for delivery.
Digital
Only orders with digital items have this part. Here you send codes. For other digital items, tap Mark sent after you send them yourself. Links go to the customer by themselves once you confirm the payment. See Sell digital items: codes, links and top-ups.
Items
This part shows what the customer ordered. Next to the ITEMS title, it says how many lines there are, like "3 items". "2× Chocolate cake" is 1 line, so it counts as 1 item.
Each line shows:
- how many and the name, like "2× Chocolate cake"
- the choices the customer picked, with any extra price, like "Large (+MVR 10)"
- a blue Pre-order tag with the days, like "Pre-order · 3 to 5 days". A pre-order item is made or brought in after the order.
- the customer's answers to your questions, each with a Copy button
- the price of one, like "MVR 50 each", when there is more than one
- the price of the line, on the right
The items in a box the customer filled sit under the box, a little to the right. See Make a box customers fill themselves.
Under the items are the money lines. Subtotal comes first. Then come only the lines this order has, like:
- "Delivery", or "Air cargo" on air cargo orders
- "Ferry surcharge" and "Doorstep"
- your service charge, and fees you add to items
- "Discount", sometimes with a short note after it
- "Includes GST 8%", or "GST 8%" when GST is added on top
The last line is Total.
The owner, senior managers and managers see an Edit button next to the ITEMS title. See Change an order. After a change, the list of changes also shows here.
Customers seethe same items and total on their receipt.
On a pay link order, a red Cancel order button can show under the items. See Follow up on a pay link.
Your note
A note for you and your team, like a changed day or a boat name. Under it, the app says: "Only you and your staff see this. The buyer never does."
To add a note:
- Scroll down to Your note.
- Tap Add a note. A sheet called Your note slides up. (A sheet is a panel that covers part of the screen.)
- Type your note in the box. You can type up to 500 letters. The number under the box counts them, like "12/500".
- Tap Save note. The app says "Saved".
The note now shows on the page. Under it, it says when it was last changed:
- "You · today 14:02" if you changed it
- "Updated today 14:02" if someone else did
The note also shows in a grey box on the order card on your order board. Tap it there to read all of it.
To change the note, tap Edit under it. Change the words, then tap Save note.
To delete it, tap Edit, then Remove note. The app says "Note removed".
Customer
Some orders do not have this part. When it shows, it tells you who the customer is:
- their name, or their phone number if they have no name yet
- a line like "3rd order with you · last 5 days ago · MVR 900 all time". For a new customer, it says "First order with you".
- the note you wrote about this customer, after NOTE
The owner, senior managers and managers can tap See customer to open the customer's page. To change the customer note, open their page. See Your customers.
Delivering to
This part shows where the order goes. Its title is Pickup for pickup orders and Air cargo for air cargo orders. Digital orders do not have this part.
It shows:
- on delivery orders, a green box with DELIVER or DELIVER BY and the day, like Mon 6 Oct. It also shows the delivery times. You see it when you set delivery days and times. For pre-orders, the box is blue and says "Pre-order. Promised 3 to 5 days." See Set delivery days and times.
- the customer's name and phone. A second phone shows after "Also try".
- for delivery and ferry: the island and the address
- for pickup: "Customer collects at" with your shop name and pickup place
- for dine-in: the table, like "Dine-in · Table 4"
- for air cargo: a box called SEND BY AIR CARGO. It shows the airport and the name on the package. It also says "The customer collects at the cargo counter with ID."
- for ferry: the name on the package, and a box called SEND VIA THIS BOAT. It shows the boat name and phone, the departure island, where the boat leaves from and when. Tap the boat phone to call.
- the customer's note from checkout (the last page, where customers place the order), after NOTE
Copy delivery details
This button is under the Delivering to part. On pickup orders, it says Copy pickup details. Dine-in orders do not have it.
- Tap Copy delivery details. It says "Copied".
- Open WhatsApp or Viber.
- Paste the text in the chat with your rider.
The text has the order number, the customer's details and the items. It also says what to collect. For example "Collect: MVR 350 (cash)", "Paid, nothing to collect" or "Pays by bank transfer".
Receipt
The last part. Save or share the order's receipt. See Save or share a receipt.
Who can use it
Everyone in your team can open orders: the owner, senior managers, managers and staff. Everyone can call or message the customer, copy the details and add a note.
Only the owner, senior managers and managers can use Edit, See customer and the Tax invoice part.
The order board and order pages need a Storefront. A free listing has no order board.
Common mistakes
The page says Order not found
Under it, the app says "It may have been removed." Tap Back to orders. Then find the order on the order board again. To find an old order, see Find an old order.
I don't see the WhatsApp and Call buttons
The order has no phone number, or it is a Counter sale. The buttons only show when there is a number to call.
I don't see the Edit button
Only the owner, senior managers and managers see it. Some orders cannot be changed any more, so the button does not show. See Change an order.
My note is gone
The X at the top right of the Your note sheet closes it without saving. Tapping the dark part of the screen does the same. Type the note again and tap Save note.
A red message says Couldn't load order or Couldn't update this order
Check that your phone is online. Go back to the order board. Open the order again and try once more. If "Couldn't update this order" still shows, sign out and sign in again. See Sign in, sign out and reset your password.
Tip
Use Your note for anything your team must not forget, like "Deliver after 5 pm". The note shows on the order card on the order board too. Your team sees it without opening the order.
