What it is
A digital item is something with no parcel to deliver. For example, a phone top-up, a game code, an e-book link or a service. Customers pay by transfer or PayPal when they order. Then they get a code or link on their order page. Or you top up or message them. You can ask them for details first, like the phone number to top up.
Find it
- Tap Items in the bar at the bottom.
- Tap the item's name or photo, not the button on the right of its row.
- Tap Digital in the round buttons under the tiles.
If you do not see Digital, tap All. Then tap Digital in the list.
In a shop with the category Top-ups & gift cards, new items start as digital. The Digital button is already green.
On a computer, Items is in the bar on the left.
Every setting
To make an item digital:
- Tap Digital. A panel called Sent digitally opens. Green labels at the top say "No address", "No delivery fee" and "Paid first, always".
- Under What the customer gets, tap one choice.
- If you picked A link, opens when paid, type your link in The link box.
- To ask customers for details, tap Add a question. See What customers tell you below.
- Tap Done at the top right.
When the whole order is digital, customers do not give an address and pay no delivery fee. Any order with a digital item is paid by transfer or PayPal, not cash.
Customers seeon some shop looks, a small "Sent to you" label on the item.
What the customer gets
You have three choices:
- I send it myself (picked when you start): "You top up or message them after payment, then mark it done."
- A code on each order: "You type it on the order and they see it."
- A link, opens when paid: "The same link for everyone, shown only after payment."
The link
This box shows only for A link, opens when paid. Type the full link. It must start with https://. When it does, a green Open and test the link shows under the box. Tap it to check the link works.
Always type your link here. Customers get this link after you confirm their payment.
What customers tell you
Questions customers answer before the item goes in their basket. The app says "Up to 4 questions, like the number to top up."
Tap Add a question. A panel called Question opens:
- Question: what you ask. The box says "e.g. Which number should we top up?" in grey.
- Kind of answer: Phone number (picked when you start), ID or code, Short text, Pick from a list or Email.
- Choices: shows only for Pick from a list. Type a choice in the box that says "Add a choice", then tap Add. Do this for each choice. To take a choice off, tap it.
- Ask twice to check: "They type it again and both must match". On when you start. It is not there for Pick from a list.
- Must answer: "They can’t add it without an answer". On when you start.
- Help under the question: a short help line. Optional.
Tap Done to go back. To delete a question, tap Remove this question, then Remove.
To use the questions of another item:
- Tap Copy questions from another item.
- Tap the item.
- If this item already has questions, the app asks something like "Replace your 2 questions with the 3 from Top-up 100?". Tap Replace.
If no other item has questions, it says "No other item has questions yet."
Normal items can ask questions too, with the same settings. See Ask customers a question when they order.
Customers seeeach question in the item, marked "Required" or "Optional". With Ask twice to check, a second box says "Type it again". Under the questions, the app says: "The shop sends to exactly what you type here. It cannot be taken back."
At the Counter (the POS tab), an item with questions opens a sheet first. (A sheet is a panel that covers part of the screen.) It says "Ask the customer for these details." See Sell items with sizes, extras or questions at the Counter.
Not digital · it gets delivered
At the bottom of the panel, tap Not digital · it gets delivered to make it a normal item again.
Send it from the order
On your order board, a digital order waiting for its payment check says "Digital · check the payment to send". After you confirm the payment, it says "Digital · paid, send it now".
- Tap the order on your order board.
- Check the payment slip (the photo of the bank transfer). The app says "Digital order. Confirming shows you the buyer's details so you can send it." For a link item, it says "Digital order. The buyer gets it as soon as you confirm the money."
- If the money is in your account, tap Money received. See Check a payment slip and confirm payment.
- Scroll down to Digital. It is under the payment part. Each item says "To send" and its name.
- Tap Copy next to an answer to copy it. If you asked no questions, it says "No details were asked for."
- Send it, as below. What you do depends on the item.
For a code, the item has a green "Paid · send it now" label:
- Type the code in the box that says "Type or paste the code".
- Tap Send the code.
If they bought more than one, the box says "One code per line · 3 needed". Type one code on each line. The button works when it says, for example, "3 of 3 codes".
For a link, there is nothing to do. The app says "Link sent automatically when you confirmed the payment."
For I send it myself:
- Top up or message the customer.
- Tap Mark sent. A box opens.
- If you like, type a reference in the box that says "Add a reference (optional)". A reference is a short note, like the top-up receipt number.
- Tap Mark sent again.
The item then says "Sent" and the time, like "Sent 14:05".
Customers seeon their order page, each code with a Copy button (and Copy all for two or more). A link has an Open button. An item you sent yourself shows your reference, like "Ref 4821". When the whole order is digital, the page says "Sending now" after you confirm the payment.
Digital setup for many items
To make many items digital at once:
- On your Items page, tap Select.
- Tap each item.
- Tap More at the bottom.
- Tap Digital. A sheet like Digital setup for 3 items opens.
- Tap Copy setup from an item or Set up fresh. See below.
- Tap Apply to 3 items.
Copy setup from an item copies the questions and what the customer gets from another digital item. Under Copy from, tap the item to copy. Do you already have a digital item with questions, a code or a link? Then this choice is picked for you. That item is ticked. With no other digital item, the app says "No other digital item to copy from yet." Tap Set up fresh instead.
Set up fresh: under What the buyer gets, tap one of these:
- I send it myself
- A code I type on each order
- A link, opens when paid
Set up fresh is picked when you start, unless the app picked Copy setup from an item for you.
The green box above the button says what will change. After you tap Apply to 3 items, a message says "3 items set up as digital". There is no Undo here.
Did you pick Set up fresh and A link, opens when paid? Then open each item afterwards. Type the link in The link box.
After you add many items from photos or a list, a Set up as digital card may show. It opens this same sheet. See Add many items from photos and Add items from a list or spreadsheet.
Who can use it
The owner, senior managers and managers can make items digital. Staff do not see the Items tab. The Digital part on an order shows to anyone in your team who opens the order.
Digital items need a Storefront. On a free listing there is no Items tab.
Common mistakes
A red message says "The link must start with https://"
Type the full link, starting with https://. For example, https://example.com/book. Then tap Done.
A red message says "Give every question a label."
A question has no words. Tap it and type the question, or tap Remove this question. If it says "Add at least one choice", the question is Pick from a list with no choices. Add one.
The answers on the order are blurred
You have not confirmed the payment yet. The app says "Unlocks when you confirm the payment above." Check the slip. If the money is in your account, tap Money received. Then the answers show.
Send the code stays grey
For more than one code, the number of codes must match the number bought. Type one code per line until it says, for example, "3 of 3 codes".
The Digital button is pale and says "Not with pre-order"
Digital cannot be on together with Pre-order, Ask or a box (like Hamper). The pale words name the one that is on. Open that feature. Turn it off with the button at the bottom of its panel. Then tap Digital again.
Tip
For phone numbers and account IDs, keep Ask twice to check on. Customers type the answer twice, so a wrong number is caught before you send.
