What it is
Stock is how many of an item you have. When you count an item, every sale takes it off by itself. Online orders take from this count. Sales at the Counter (the POS tab) do too. When the count gets to 0, customers see the item as sold out. Use it for things that can run out, like cakes, phone cases or bottles of oil.
Find it
You can count all your items in one place, called Stock. You can also count one item from its own page.
To open Stock:
- Tap Items in the bar at the bottom.
- Tap the round button with three dots (⋯), next to Select. A sheet called More opens. (A sheet is a panel that covers part of the screen.)
- Look at the card at the top. It says Stock in small capital letters.
- Tap Open Stock on the card. When some items need more, this button says See them. A tall sheet called Stock slides up.
The first time, the card says Set up your stock. It has only one button, like Count my 12 items (with your own number). Go to "Count your items the first time" below.
To count one item:
- Tap Items in the bar at the bottom.
- Tap the item's name or photo.
- Tap the tile that says Not counted. It is on the right, under the tile that says Shown. A panel called Stock opens.
On a computer, Items is in the bar on the left. Tap Stock in the row of buttons above your items.
Every setting
Count your items the first time:
- Open the More sheet (steps 1 and 2 above).
- Tap Count my 12 items on the card. The first item opens. At the top it says "Item 1 of 12".
- Count that item on your shelf.
- Tap the big ? in the middle.
- Type how many you see. You can also tap + until it shows your number.
- Tap Save, next item. The next item opens.
- Do the same for each item. To leave an item for later, tap Skip.
- On the last item, tap Save and finish.
- Tap Back to stock.
Each number is saved when you tap the green button. You can stop any time with the back button at the top left. To carry on later, open the More sheet again and tap Continue counting.
For every button on the counting screen, see Add new stock and fix a count.
The Stock card
This card shows the one thing to do with your stock now. A coloured bar shows how your items are. Green is fine, orange is running low and red is sold out. What the card can say:
- Set up your stock: nothing is counted yet. The button is Count my 12 items.
- "2 sold out · 3 running low": the buttons are Restock 5 items and See them. The app says "Customers can't order sold out items until you add more." When items are only running low, it says "Add more before they run out."
- "4 items aren't counted yet": the buttons are Count them and Open Stock.
- Stock looks good: for example, "240 on hand across 12 items." The buttons are Got new stock and Open Stock.
- Finish counting: you stopped a count. For example, "4 of 12 done. The ones you counted are saved." Tap Continue counting.
- Finish adding your stock: you started adding new stock and did not finish. Tap Finish adding.
- "Add items first. Then you can count them here.": your shop has no items yet. See Add your first item.
Restock, Got new stock and Finish adding open the New stock screen. See Add new stock and fix a count. If you keep stock in more than one place, use Update stock in Stock instead. Then the app asks where the stock arrived.
When something is sold out or running low, a slim strip also shows above your items. It also shows when a count or a new stock list is not finished. Tap its green button: Restock, Finish or Continue.
Know what you have, without guessing
This screen shows when Stock opens and nothing is counted yet. It says:
- "Count each item once. One item per screen."
- "Every sale takes it off by itself."
- "We tell you before anything runs out."
Tap Count my 12 items at the bottom to start. The app says "You can stop any time and carry on later."
If your shop has no items yet, it says Add your items first. Tap Add my items. See Add your first item.
Stock
This is the home of the Stock sheet. Under the title, it says how many items you count and how many you have. For example, "12 items · 240 in stock".
From the top:
- You didn't finish adding stock: tap Finish to go on, or Throw the list away.
- Counting paused: tap Continue, or Stop counting.
- A card like "3 items need more", with Add stock.
- Find an item: type a name to find an item.
- Needs more: items that are sold out or running low. Each says "Sold out" or "Running low", with how many are left.
- All good: the other counted items. You see the first few. Tap See 4 more to see the rest.
- A card like "2 items aren't counted yet". Tap Count to count them.
- Stock in another place too?: see Keep stock in more than one place.
- Update stock at the bottom: add new stock or fix a number. See Add new stock and fix a count.
Tapped Throw the list away or Stop counting by mistake? Tap Undo in the message that shows.
Tap any item to see its page and fix its number. See Add new stock and fix a count. To close Stock, tap the X at the top right.
Count how many I have
This is the switch at the top of an item's Stock panel. It starts off. When it is off, the app says "Off · it never sells out on its own".
Tap it so it turns green. The app says "Sells out on its own at 0". Then:
- Tap the big number in the middle.
- Type how many you have. You can also tap − or + instead. Under the number, it says "pieces on hand".
- Tap Done at the top right.
A message says "Stock saved". The tile on the item now shows the number, like "12" with "pieces left" under it. Food shops see "portions" instead of "pieces". You can tap − or + right on that tile to change it by one. It saves by itself.
If the item is a pre-order, the switch is called Limit how many I take. When it is off, the app says "Takes every pre-order that comes in", and the tile on the item says "Takes every order". When it is on, the tile shows how many are "left to take". See Sell an item as a pre-order.
Warn me at
This is under the big number. It starts at Off. The app says "Shows a Low badge and a nudge".
Tap + to pick a number, like 5. When the item has that many or fewer left:
- your Items list shows an orange Low label next to the item
- the number on the tile turns orange. Under it, it says "left · running low".
- the item shows under Needs more in Stock, as "Running low"
At 0, the item is sold out instead. Your Items list says "· Out of stock" in red. To turn the warning off, tap − until it says Off.
For more about the labels on your Items page, see Find your way around the Items page.
You can change the same number in Stock, under Warn me on the item's page.
Items with sizes, colours or packs
For items with sizes, each size keeps its own count. The app says "One at 0 shows sold out, the others keep selling." In the Stock panel, tap a size to count it. The tile on the item then shows the total, like "12" with "left · 3 sizes". See Add sizes and colours.
For colours, tapping the tile opens Every colour (or Every mix). Count each one there. See Add sizes and colours.
For items with packs, tapping the tile opens Packs. All packs share one count there. The tile then shows it like "24" with "pcs · all packs" (pcs means pieces). See Packs and barcodes: sell by the piece, pack or case.
Stock in more than one place
Do you keep stock in more than one place? Then the tile on a counted item shows the total. For example, "52" with "in total · 2 places". Tap the tile. The panel shows each place and In total. You cannot change them there. The app says "You keep stock in more than one place, so counts change in Stock." Tap Count in Stock. See Keep stock in more than one place.
An item that is not counted yet can still be counted on its own page. The app then says, for example, "This is the count at Malé shop. Count your other places in Stock."
What customers see
Customers see"Sold out" (or "Out") on the item when its count gets to 0. They cannot order it until you add more.
When only a few are left, customers see "Only 3 left" when they open the item. Customers cannot put more in their basket than you have. Before they pay, they see "Checked just now. Your item is still in stock." If it sold out while they were ordering, they see a line like "Cola sold out while you were checking out." See What customers see on your shop page and How customers order from you.
Other places that use your count
- The Counter warns you when a sale is more than your count. For example, "Cola is past your count". It says "The counter will still take it." See Make a sale at the Counter.
- In Insights, Needs you shows items that are sold out or running low. See See how your shop is doing.
- To turn on counting for many items at once, see Change many items at once.
Who can use it
The owner, senior managers and managers can count stock. Staff cannot open Items or Stock.
Counting stock needs a Storefront. It is not part of the free listing.
Common mistakes
I do not see the Stock card
Your shop may be a free listing. Stock tracking comes with a Storefront. See Free listing and Storefront. Staff do not see it either.
The Stock card cannot check my stock
The card says "Couldn't check your stock just now." Check your internet. Then tap Open Stock. If Stock says You're offline or Stock didn't load, tap Try again. If it says "Couldn't refresh. These numbers may be a little old.", tap Refresh.
My item says Sold out, but I have more
Its count is 0. Add the new stock, or fix the number. See Add new stock and fix a count.
A red message shows when I tap Done
- "Type how many you have." The big number is empty. Type a number, even 0.
- "That count is too big. Check the number." Check for an extra 0.
The Low label never shows
Warn me at is Off. Tap + to pick a number. The orange Low label shows while at least 1 is left. At 0, the item is sold out.
Tip
Set Warn me at to how many you sell in about three days. The Low label then gives you time to order more before the item runs out.
