What it is

Once you count an item, sales take it off by themselves. You only need Stock for two jobs:

  • New stock came in, like a delivery or a fresh batch. What you add goes on top of what you have.
  • A number is wrong, because something broke, went missing or was counted wrong. You count the shelf, and your number takes the place of the old one.

The app says "Sales take stock off by themselves. You never enter a sale here."

If you have not counted your items yet, start with Keep count of your stock.

Find it

  1. Tap Items in the bar at the bottom.
  2. Tap the round button with three dots (⋯), next to Select. A sheet called More opens. (A sheet is a panel that covers part of the screen.)
  3. Tap Open Stock on the card at the top. When some items need more, this button says See them. The Stock sheet slides up.
  4. Tap Update stock at the bottom. A sheet called What happened? opens.

On a computer, Items is in the bar on the left. Tap Stock above your items. Then tap Update stock.

Every setting

What happened?

This sheet has these choices:

  • New stock came in: "A delivery arrived, or you made more"
  • A number is wrong: "Count what is really on the shelf"
  • I am sending stock: "From one of your places to another". You only see it when you keep stock in more than one place. See Keep stock in more than one place.

Do you keep stock in more than one place? Then the app asks where, after you tap a choice. It asks Where did it arrive? or Where are you counting? Tap the place. If you kept a new stock list for later, New stock came in opens that list instead. See Keep stock in more than one place.

To close the sheet, tap the X at the top right.

New stock came in

  1. Tap New stock came in. A screen called New stock opens. It asks How many came in?
  2. Find the item in the list. To find it faster, type its name in Find an item.
  3. Tap the green + next to the item to add 1. Or tap +5 to add 5.
  4. Tap − or + to change the number. You can also tap the number and type it.
  5. Do the same for each item that came in.
  6. Tap the green button at the bottom, like Add 24 to stock.

A screen says Added, with each item's old and new number, like "12 → 17". Tap Back to stock.

Each item in the list shows what you have now, like "Has 12". An item you do not count yet says "Not counted yet". When you add stock to it, it starts counting. After you tap +, the line turns green and shows the new number, like "12 → 17".

At the bottom, a line like "3 items · 24 in all · not added yet" shows what you picked. Nothing is added until you tap the green button. Until you pick something, it says Tap + on what came in.

If a sold out item gets stock, the Added screen says so, like "2 sold out items are back on sale."

Customers see

the item for sale again, once it has stock.

Restock on the Stock card and Add stock in Stock also open this screen. They fill in amounts for items that are sold out or running low. Check each number before you tap the green button.

Items with packs show buttons like +1 Case of 24. See Packs and barcodes: sell by the piece, pack or case.

With the Packs and barcodes add-on, the owner also sees a Paid box. It shows under each item you add, but not for sizes. It is optional. Type what you paid for all of it. See Packs and barcodes: stock and costs at each place.

If you leave before you add

Did you change the list? If you leave before you add it, the app asks Add this stock before you go? You can tap:

  • Add 24 now: adds it all.
  • Keep the list for later: keeps your list for later. The app says "List kept. Finish it from Stock."
  • Throw it away: deletes the list.
  • Keep editing: goes back to the list.

A kept list shows at the top of Stock as You didn't finish adding stock. Tap Finish to go on. The screen says "Picked up where you left off. Nothing below is added until you tap Add." To delete the list, tap Throw the list away instead.

A number is wrong

  1. Tap A number is wrong. A screen called Counting opens. It shows one item, with "Item 1 of 20" at the top.
  2. Count that item on your shelf.
  3. Look at the big number. It is how many the app thinks you have.
  4. If it is right, tap That's right, next.
  5. If it is wrong, tap − or +. Or tap the number and type how many you see.
  6. Tap Save, next item.
  7. Do the same for each item. On the last item, tap Save and finish.
  8. Tap Back to stock.

The count shows every item you count, one at a time. To leave an item as it is, tap Skip. For items with packs, it asks in their unit, like "How many kg do you see?". You can type a half, like 2.5.

Under the number, the app tells you how it compares:

  • "Same as we thought": your number matches.
  • "2 less than we thought (12)" or "3 more than we thought (9)": your number is different. The number in brackets is the old one.
  • "First count. Type or tap the number you see.": this item was never counted.

At the end, the screen says something like "All 20 counted". It may say "Everything matched what we thought. All saved." Or it says how many were different, with each old and new number, like "12 → 10". If you skipped every item, it says Nothing counted.

If an item was removed from your shop during the count, the app says "This item was removed". Tap Next item.

Stop a count and carry on later

Each number is saved when you tap the green button. To stop, tap the back button at the top left. The app says "Counting paused. 4 of 20 done." and "Continue any time from Stock."

If you changed a number but did not save it, the app asks, for example, "Save 12 for Cola?" Tap Save and stop here, Leave without saving or Keep counting.

To carry on, open Stock. Tap Continue on the Counting paused card. To end the count, tap Stop counting under it. What you saved stays saved.

Starting a new count while one is paused? The app asks You have a paused count. Tap Continue paused count, Start a new count or Cancel.

Fix one item

  1. In Stock, tap the item. Its page opens.
  2. Find the row called On the shelf, under How many you have.
  3. Tap − or + on the right of that row. Or tap the number and type it.
  4. Tap the green button at the bottom, like Save · 10 → 12.

A screen says Saved, like "Cola now has 12." Tap Back to stock.

The top of the page shows how many you have, like "12 in stock". It also shows how many you sold, like "Sold 30 in the last 2 weeks". Under On the shelf, it says In stock, Running low, Sold out or Not counted. After you change the number, it also shows the old one, like "· was 10".

To put the old numbers back before you save, tap Undo. If you leave without saving, the app asks Save your changes? Tap Save, Leave without saving or Keep editing.

When you have not changed anything, the bottom says "Tap − or + to fix a number". Tap New stock came in? Add it to add new stock to this item. The New stock screen opens with an amount already filled in for this item. Check the number before you tap the green button.

If you keep stock in more than one place, the page says How many, and where. It has a line for each place. See Keep stock in more than one place.

Warn me

This is on the item's page, after you count the item. It says "When I have this many or fewer". It shows the same number as Warn me at on the item, or Off. See Keep count of your stock.

Tap + to pick a number. Tap − until it says Off to stop the warning. Then tap Save at the bottom. When the item has that many or fewer, it shows as Running low.

Other ways in

  • The owner may see a Stock card in Grow, on its Today screen. Its button to add stock for you uses Grow credits. Open Stock · free opens Stock instead. See Grow: today's moves.
  • On the prep sheet, What now? shows under an item when there is not enough for every order. See Prep sheet step 1: get the items ready.

Who can use it

The owner, senior managers and managers can add stock and fix counts. Staff cannot open Stock.

Stock needs a Storefront. The Paid box needs the Packs and barcodes add-on and is only for the owner.

Common mistakes

I added stock, but I wanted to set the exact number

New stock came in adds on top of what you have. To set the exact number, tap the item in Stock and fix it. Or use A number is wrong.

The button says Waiting for internet

Saving needs the internet. On New stock, your list is kept while you wait. A red message may say "No internet. Nothing was saved. Try again when you are back online." Wait until you are online, then tap the green button again. If you try to leave while offline, the app says "You're offline, so it can't be saved right now."

Some items did not save

The app says, for example, "2 items didn't save." Those items stay on the list, with "Didn't save" in red. Tap the button that says Try again · add 10.

The button says Tap + on what came in

You have not picked an item yet. Tap the green + next to each item that came in. Then tap the green button at the bottom.

Tip

Use New stock came in every time a delivery arrives. Use A number is wrong only when something broke, went missing or was counted wrong. Your numbers then stay right, and your Low labels show at the right time.
