What it is
A place is somewhere you keep stock. Your first place is where your stock is now. You can add more places. For example, a shop on another island, a storeroom in Malé or a fair stall. Each place has its own count. You can send stock between places. You can also pick which online orders each place sends. At the Counter (the POS tab), each phone sells from one place.
Find it
Count your items first. See Keep count of your stock.
- Tap Items in the bar at the bottom.
- Tap the round button with three dots (⋯), next to Select. A sheet called More opens. (A sheet is a panel that covers part of the screen.)
- Tap Open Stock on the card at the top. When some items need more, this button says See them. The Stock sheet slides up.
- Scroll down to the bottom of the list.
- Tap Stock in another place too? It says "A second shop, a storeroom or a fair stall" under it.
Once you have a second place, your places show near the top of Stock, under Your places. Tap Manage next to it to see them all.
On a computer, Items is in the bar on the left. Tap Stock above your items.
Every setting
To add a place:
Already have a second place? Tap Manage next to Your places. Then tap Add a place, and start at step 3.
- Tap Stock in another place too? A screen called Add a place opens.
- The first time, the app asks "Your stock is in one place now. What do you call it?" This box is under the three choices. Your shop name is already in it. Change it if you like, for example to "Malé shop".
- Under What kind of place is it?, tap A shop, A storeroom or A stall. The next screen says Name it and pick the island.
- Type a name in the Name box, like "Addu store".
- Tap the Island box.
- Pick the island.
- For a stall only, pick the Starts and Ends days.
- Tap Next. For a stall, this button says Add Book fair stall (with your stall's name), and you go on at step 11.
- Under "Which online orders come from Addu store?", tap each atoll this place sends to. The atoll of the island you picked is usually picked already. If you do not see the atoll you want, tap More atolls.
- Tap the green button, like Add Addu store.
- The app says "Addu store is added". It asks Does it have stock yet? Tap one:
- No. Send some from Malé shop: pick what to send. See Send stock below.
- Yes. Count what is there: count each item at the new place.
- Later: "It starts with nothing until you send or count."
When you add another place later, the box in step 2 is gone. The app says "Your stock is at Malé shop right now. That stays as it is."
To go back a step, tap the back button at the top left.
What kind of place is it?
- A shop: "Customers walk in and buy"
- A storeroom: "Stock waits here. Nobody buys here."
- A stall: "For a fair or an event. Closes when it ends." A stall sends no online orders.
Which online orders come from here
The switch Online orders from nearby starts on (green). It says "Delivered to these atolls:". Tap an atoll to pick it. Tap it again to take it off.
- At first you only see the atoll of the island you picked. Tap More atolls to see every atoll. Tap Fewer atolls to hide them again.
- Under More atolls, you can also pick single islands. Tap Add islands you deliver to under Or single islands. The app says "When only one island should get its stock from here."
- Malé is not in the atoll list. For Malé or Hulhumalé, pick the islands under Or single islands.
- An atoll with a dashed edge already gets its stock from another place. If you pick it, the app says "Some of these came from another place before. They move here."
The grey box sums it up, like "Online orders from Seenu come from Addu store. All others still come from Malé shop."
If this place sends no online orders, turn the switch off. The box then says "Every online order still comes from Malé shop." With the switch on and nothing picked, the button says Pick at least one atoll.
If a place runs out
You see this card after you pick an atoll or island. It says "Send the online order from Malé shop instead". The switch is on at the start. You can change it later in Your places, under Online orders.
- On: if this place runs out, the order is sent from Malé shop.
- Off: if this place runs out, the customer sees the item as sold out for their island.
Customers see"Part of your order isn't in stock near you, so it will come from our main store. Delivery may take a little longer." With the switch off, they may see a line like "Sold out for delivery to S. Hithadhoo". They change their basket before they pay.
See How customers order from you.
Your places
Tap Manage next to Your places in Stock. A screen called Your places opens. Each place shows:
- its name, its kind and its island, like "Shop · S. Hithadhoo"
- "Walk-in customers", or "Nobody buys here. Stock waits here." for a storeroom
- which online orders it sends: "Every online order", "All other online orders", "Online orders from Seenu atoll" or "No online orders"
- for a stall, its last day, like "Ends Friday 23 Oct"
- how many it has, with "in stock"
Below them is Add a place.
Under Online orders, a switch says "If a place runs out, send the online order from Malé shop". When it is on, the app says "The buyer is told it may take a little longer." When it is off, it says "The buyer sees it as sold out for their island."
Tap Past moves between places to see recent moves, like "Malé shop → Addu store" and "20 · arrived 2 days ago".
In Stock, with places
The top of Stock says how many places you have, like "2 places · 12 items · 240 in stock". Under Your places, each place has a tile with its total. Tap a tile to open that place.
Each item in the list has a small label for each place. It shows how many are there. A red label means none are left there. An orange label means it is running low there. The list explains the colours: None and Low.
Tap an item to open its page. It says How many, and where, with a line for each place. If a shop has none and another place has some, the app says, for example, "Addu store has none. Malé shop has 12." Tap Send 5 to send some.
A place's page
It shows the place's name, kind and island, and how many it has, like "40" with "in stock here now". Stock on its way there shows as "on the way · tap when here".
Under Who buys from here, it says who buys there and which online orders it sends. Tap Change to edit it.
The list shows each item at this place, with "Not counted here", "None left", "Running low" or "5 on the way". Tap an item to fix its number.
Tap Update stock here at the bottom. The sheet What happened? opens, with "At Addu store" under the title. Everything you do from here is for this place. See Add new stock and fix a count.
Did you keep a new stock list for another place? Then New stock came in opens that list. The app says, for example, "Finish the list for Malé shop first, or throw it away."
Where are you counting? and Where did it arrive?
Tap Update stock in Stock, then A number is wrong. The app asks Where are you counting? It says "You count one item at a time, only at that place."
Tap New stock came in instead, and it asks Where did it arrive? It says "Tap the place. Next you say how many."
Each place shows its kind, island and total, like "Shop · S. Hithadhoo · 40 in stock". Tap one. From a place's page, the app does not ask.
Send stock
- In Stock, tap Update stock at the bottom.
- Tap I am sending stock. A screen called Send stock opens.
- Check the places under From and To at the top.
- Under What are you sending?, tap + next to an item. Or tap All 12 to send all of it.
- Tap − or + to change the number.
- Tap Next · sending 20 at the bottom.
- Under "How is it getting to Addu store?", tap I am taking it now or By boat or cargo.
- For a boat, you can type its name under Which boat? (if you want), like "Tuesday ferry".
- Tap the green button: Move 20 now or Put 20 on the way.
What the two ways do:
- I am taking it now: "It shows at Addu store straight away." The screen says Moved, like "Addu store now has 32."
- By boat or cargo (picked at the start): "It shows as on the way. Tap It arrived when it gets there." The screen says On the way. The stock leaves the From place now.
To change a place, tap From or To. A sheet called Send from or Send to opens. Tap the place you want. To swap the two places, tap the green arrow between them.
Each item shows how many the From and To places have, like "Malé has 12 · Addu has 0". After you tap +, it shows the new numbers, like "Malé 12 → 7 · Addu 0 → 5". Only items that have stock at the From place are in the list. If the From place has nothing counted, the list says, for example, "Nothing counted at Malé shop yet. Count it first."
If you leave before sending, the app asks Send this stock before you go? Tap Send 20 now, Leave without sending or Keep editing.
It arrived
While stock is on its way, a blue card shows at the top of Stock, like "20 on the way to Addu store". Under it, it says where it came from and when.
- Tap It arrived on the card. The app asks "Did it all get to Addu store?"
- Check each item and how many were sent.
- If everything came, tap Yes, all 20 are here.
- If some are missing, tap Some are missing. The app says "Set how many really came. Missing ones stay on record."
- Tap − or + next to each item until it shows how many came.
- Tap the green button, like Save · 18 of 20 arrived.
The screen says Done, like "Addu store now has 32." If some were missing, it also says how many, like "2 missing."
If the stock never left, tap It never left? Cancel this move. The app asks Cancel this move? and says "The 20 go back to Malé shop as if they never left." Tap Yes, it never left, or Keep it on the way. A message then says "Cancelled. The stock is back at Malé shop."
If someone already marked it, the app says "This was already marked as arrived, or cancelled."
Edit a place
- In Stock, tap the place's tile.
- Tap Edit at the top right.
- Change the Name, What kind of place (Shop, Storeroom or Stall), the Island, or a stall's days.
- Change the atolls under Online orders from here, or add islands under Or single islands.
- Tap Save at the bottom. A message says "Saved".
Your first place can only be a Shop or a Storeroom. The app says "Online orders that no other place covers come from here."
Close a stall
When the event is over, open the stall's page. Tap Event over? Bring the 40 back. (You also see it in Your places, and in Edit as "The event is over: close Book fair stall".)
The app asks, for example, "Close Book fair stall?" and says "The 40 left there go back to Malé shop in one step." Tap Close it and bring stock back. Or tap Not yet.
Remove a place
- In Stock, tap the place's tile.
- Tap Edit at the top right.
- Tap the red Remove this place. It is near the bottom, above Save.
- Tap Remove it.
The app says "Its history stays. It stops showing in Stock and at the Counter." If the place still has stock, it says "It still has 12 in stock. Send it to another place first." Your first place cannot be removed. A stall is closed instead, as above.
Sell from (at the Counter)
When you have more than one place, the Counter sells from one of them.
- Tap POS in the bar at the bottom.
- At the top, under Counter, tap the small rounded button that says, for example, "Selling from Malé shop". A sheet called Sell from opens.
- Tap the place this phone sells from. A green tick shows next to it.
The app says "Sales on this phone take stock from this place. The phone remembers it." It starts at your first place, which says "· Main". Here, kinds show as "Shop", "Storage" or "Pop-up".
If you add more to a sale than this place has, the app says, for example, "Only 2 at Addu store" or "None at Addu store". If it says "Can't check stock at Addu store right now. Try again in a moment.", check your internet and try again.
You may switch places while a sale is on the Counter. If the new place has too few, the app says, for example, "Only 2 of Cola at Addu store. Lower it or switch back." See Make a sale at the Counter.
Orders and the prep sheet
- On an order page, Stock from shows which place sends the order. Tap Fill from another place to change it. See Send an order out for delivery.
- On the prep sheet, Which shop place? picks which place's orders you prepare. See Use the prep sheet.
- With the Packs and barcodes add-on, each place can have its own warning level. See Packs and barcodes: stock and costs at each place.
Who can use it
The owner, senior managers and managers can add places, edit them and send stock. Everyone who uses the Counter, staff too, can pick Sell from on their own phone.
Places need a Storefront.
Common mistakes
I do not see Stock in another place too?
Count your items first. Then clear the Find an item box. Once you have a second place, the card is gone. Tap Manage next to Your places, then Add a place.
A red message shows when I add a place
- "Give the place a name." Type a name in the Name box.
- "The end date is before the start date." Pick an Ends day on or after the Starts day.
New stock went to the wrong place
When you get new stock, open Stock and tap Update stock, then New stock came in. Pick the place under Where did it arrive? To fix a place's number, tap the item and change the number for that place.
I cannot remove a place
Send its stock to another place first. Is stock still on its way to or from it? Then the app says "Stock is on the way to or from Addu store. Receive or cancel it first." Tap It arrived on the blue card, or cancel the move. Closing a stall can show a message like this too.
Stock I sent is not at the other place
It is still on the way. Tap It arrived on the blue card in Stock.
Tip
Use By boat or cargo when you send stock on a ferry. You can see what is still on the boat. When it lands, you can say if anything went missing.
