What it is

Reports is a page in Insights with all your reports in one list. Use it to keep a record, send numbers to your accountant, or get ready for GST. You pick the days once at the top, and the reports use them. You can save a report as a PDF or a spreadsheet. A PDF is a page you can print. A spreadsheet is a table for Excel. You can also send a short summary on WhatsApp.

Find it

  1. Tap Insights in the bar at the bottom.
  2. Tap the round button with a page picture, at the top right.
Insights on a phone. The round button with a page picture, at the top right, is marked.

A page called Reports opens. Under the title, it says "To keep, share or file". To go back to Insights, tap the arrow at the top left.

On a computer, Insights is in the bar on the left, and the button says Reports. The Send a summary card on the Overview tab opens Reports too. See See how your shop is doing.

If you are the owner and do not see Insights, your shop is a free listing. Reports need a Storefront. See Free listing and Storefront.

Every setting

Close the day

This is the dark card at the top. It says "Count your drawer against today's sales." Under it, you may see a line like "So far MVR 450 from 6 sales". Tap the card to count your cash when you close. See Close the day.

For your accountant

The green card under it shows a name like "September pack". It holds last month's reports in one download. It comes with the Bills and GST add-on. Without the add-on, it says "Comes with the Bills and GST add-on" and has a lock. See Bills and GST: what it adds.

The days

Under the cards is a grey button with the days, like This month and the dates. The reports use these days. Tap it to pick other days. A sheet called Show me opens. (A sheet is a panel that covers part of the screen.) It works like the one in Insights. See See how your shop is doing.

The days stay the same when you go between Insights and Reports. Some reports do not use them. For example, Close the day is always today. GST return has its own buttons for the days.

Customise

The green Customise button is next to the days. It opens a sheet with filters. A filter chooses which sales a report counts. For example, only cash sales at the Counter (the POS tab). When filters are on, an orange number on Customise shows how many.

The filters change Sales by item, your service charge report and some add-on reports. They do not change Sales summary, Income and expenses, Orders or GST return.

To use filters:

  1. Tap Customise.
  2. Under Period, pick the days first.
  3. Tap the choices you want. Each one is explained below.
  4. Tap Show report at the bottom.

The filters stay while you open other reports. When you go back to Insights, they go back to the start.

Period

You can tap Today, This week, This month or Last month. The one you picked is dark. The days change right away, even before you tap Show report.

Pick a month or dates closes Customise and opens Show me. Choices you changed in Customise are lost. So pick the days before anything else.

Compare with the period before

This is a switch. It is on (green) when you start. The app says it "Shows up or down next to the total". For example, "Up 12% on last month". Tap it to turn it off.

Sales from

There are three choices: Online, Counter and Pay links. All are on, with a green tick, when you start. Tap one to leave it out. The app says "Leave all on to see everything". If you turn them all off, they all turn back on.

There are six choices: Cash, Card, Transfer, Cash on delivery, PayPal and On credit. All are on when you start. Tap one to leave it out. If you turn them all off, they all turn back on.

All is picked when you start. Tap Paid to see only paid sales. Tap Not paid yet to see only unpaid sales.

Place, Sold by and Category

These boxes do not always show. Tap a box and pick from the list.

  • Place: shows when there is more than one place to pick. Pick All places or one place. See Keep stock in more than one place.
  • Sold by: shows when there is more than one person to pick. Pick Everyone, You or a name. When you pick a person, the app says: "Sold by counts counter and pay link sales. Online orders have no seller."
  • Category: shows on the Reports page and in Sales by item, when there are categories to pick. Pick All categories or one category.

Show totals by

Day is picked when you start. You can tap Week or Month. This changes only the list of totals in your service charge report. For example, with Week, the list is called Week by week.

Pin with these filters

This switch shows only when you open Customise inside a report you can pin. See Pinned below.

Reset and Show report

Reset puts every filter back as it was at the start. It does not change the days. Show report closes the sheet and uses your filters. To close without changes, tap the X at the top right.

Inside a report, your filters show as small labels under the days, like "Counter, Cash" or "Paid only". Tap Clear next to them to take them all off.

Pinned

A pin keeps a report, with its days and filters, at the top of Reports. You can pin Sales by item and your service charge report. You can also pin add-on reports that have a Customise button.

To pin a report:

  1. Open the report.
  2. Tap the star at the top right.

The star turns green, and the app says "Pinned to the top of Reports". To unpin, tap the star again. The app says "Unpinned".

To give a pin your own name:

  1. Inside the report, tap Customise.
  2. Tap the Pin with these filters switch. It turns green.
  3. Type a name in the Name box. It starts with the report's name.
  4. Tap Show report.

Your pins show under Pinned on the Reports page. Each card shows the name and the days, like "This month · 2 filters". Tap a card to open the report with those days and filters. Tap the X on a card to remove the pin.

A pin keeps Today, This week, This month or Last month. If you picked other days, the pin opens This month. Pins are kept on this phone only. They do not show on your other phones.

All, Sales, Charges and tax

Above the list is a row of buttons: All, Sales, Charges and tax, Money, Stock, Customers and Spreadsheets. All is picked when you start. Tap one to see only that group. Next time you open Reports on this phone, the same button is picked.

The list of reports

Each group has a title and the number of reports in it. Tap a row to open that report.

These come with your Storefront:

  • Sales summary and Sales by item, under Sales.
  • Your service charge report, under Charges and tax. It has the name of your charge, like Service charge.
  • GST return, under Charges and tax.
  • Income and expenses, under Money.
  • Orders, under Spreadsheets. It has a download picture instead of an arrow.

See Sales summary, sales by item and other free reports.

The words under GST return depend on your GST:

When GST is on and your shop has a TIN (tax number), the GST return row shows it.

Reports with a lock

Grey rows with a lock come with the Bills and GST add-on. Under the list, it says "Reports with a lock come with the Bills and GST add-on." The owner can tap See what it adds to see the add-on and its price. Senior managers see "Ask the shop owner."

When you tap a locked report, a dark card says what the add-on adds. Locked rows under Spreadsheets are different. When the owner taps one, the Month-end pack page opens. When a senior manager taps one, the app says "This comes with the Bills and GST add-on. Ask the shop owner."

With the add-on, these rows have a small New label instead of a lock. See Bills and GST: what it adds.

Get this report

You can save or send Sales by item, your service charge report and the add-on reports.

  1. Open the report.
  2. Tap Get this report at the bottom. You can also tap the download picture at the top right.

A sheet called Get this report opens. Under the title, it shows the report name and the days. Tap how you want it, then tap the big button at the bottom.

  • PDF: picked when you start. It says "A4, ready to print or email". Your shop name, your TIN if you have one, and the days are at the top. Tap Download PDF.
  • Spreadsheet: for Excel or Google Sheets. Tap Excel (.xlsx) (picked when you start) or CSV. Under Columns, every column has a green tick. Tap a column to leave it out. Then tap Download Excel file or Download CSV.
  • WhatsApp: "A short summary". You see the message first. Tap Open WhatsApp. WhatsApp opens with the message ready. Pick a chat and send it. The message ends with "Made with Eveyla".

While the file is made, the button says Making your file. On an iPhone, the share menu opens next. Save the file or send it from there. On other phones and on a computer, the file goes to your downloads. The app says "Saved to your downloads".

With the Bills and GST add-on, there is a fourth choice, Telegram. It sends the PDF to your chat with Eveyla Bot. See Bills and GST: more reports and the month-end pack.

Who can use it

The owner and senior managers can open Reports. Managers and staff do not see Insights.

Reports need a Storefront. Reports with a lock, the month-end pack and Telegram come with the Bills and GST add-on. Only the owner can open the add-on from Reports.

Common mistakes

I don't see the Reports button

Open Insights first. The button is the round one with a page picture, at the top right. If there is no Insights in your bar, see What each role can do.

My filters are gone

Filters go back to the start when you leave Reports. To keep a report with its filters, pin it. See Pinned above.

I changed the filters, but my report looks the same

Filters change only Sales by item, your service charge report and some add-on reports. Sales summary, Income and expenses, Orders and GST return do not use them.

My Customise choices went away when I picked dates

Pick a month or dates closes Customise. Pick the days first. Then tap Customise again and pick your filters.

A red message shows when I save a report

  • "Keep at least one column." You took the tick off every column. Tap a column so it has a green tick. Then tap the download button again.
  • "Couldn't make the file. Try again." Wait a moment. Then tap the download button again.

Tip

Pin the reports you check often. For example, open Sales by item and tap Customise. Tap Last month. Tap Online and Pay links so only Counter is on. Tap Show report, then tap the star. At the start of each month, one tap on the pin shows what sold best at your counter.
