What it is

These reports come free with your Storefront. Sales summary and Income and expenses are short summaries to send on WhatsApp or keep as a PDF (a page you can print). Sales by item shows what sold. Your service charge report shows what your extra charge brought in. Orders is a spreadsheet (a table for Excel) with every order.

To pick the days, use filters, pin a report or save it, see Find and share a report. For GST, see Get your GST sales numbers.

Find it

  1. Tap Insights in the bar at the bottom.
  2. Tap the round button with a page picture, at the top right. A page called Reports opens.
  3. Tap the report you want, like Sales summary.
Insights on a phone. The round button with a page picture, at the top right, is marked.

Orders is under Spreadsheets, near the bottom. On a computer, Insights is in the bar on the left, and the button says Reports.

Every setting

Sales summary

A short summary of your sales, like a receipt. It uses the days at the top of Reports.

At the top are two buttons: Sales and Income and expenses. Tap one to see that summary.

The card shows:

  • your shop name and the days
  • your sales, in big numbers, like "MVR 12,500"
  • a line like "Up 12% on last month", when you also sold in the days before
  • small bars, one for each day, when you picked more than one day
  • Orders and Average order
  • Collected: the money you got
  • Not paid yet: money from orders that are not paid yet
  • Online / counter: how many orders came online and at the Counter (the POS tab), like "12 / 5"
  • Best seller: the item that brought in the most money

This page has no days button, and the filters do not change it. To see other days, see Common mistakes below.

Income and expenses

Tap Income and expenses in the Reports list, or the button at the top of Sales summary. The big number is what you kept, with the word "kept". Under it:

  • Money in and Money out
  • what you spent on, like Gas or Rent
  • Not paid yet: money from orders that are not paid yet
  • You owe: bills you marked to pay later

To add what you spend, see Add your expenses. For more about these numbers, see See money in and money out.

  1. Open Sales summary or Income and expenses.
  2. Tap Send on WhatsApp.
  3. WhatsApp opens with the summary typed in. Pick a chat.
  4. Tap send.

Save as PDF

  1. Open Sales summary or Income and expenses.
  2. Tap Save as PDF. The button says Making your file for a moment.

On an iPhone, the share menu opens. Save the file or send it from there. On other phones and on a computer, the file goes to your downloads. The app says "Saved to your downloads". If it says "Couldn't make the file. Try again.", tap Save as PDF again.

Sales by item

Every item you sold in the days you picked, with units, sales and profit. Under the title are the days and Customise. The star and the download picture are at the top right. See Find and share a report.

When you have categories, a row of buttons shows All and each category. Tap one to see only that category.

The totals card shows:

  • Item sales: money from your items. When Compare with the period before is on, a line like "Up 12% on last month" shows under it.
  • Profit: what you made after what the items cost you. Until your items have a cost, it says "Add costs to see it".
  • Units: how many you sold.
  • Items: how many different items sold, like "24 sold".

When some items have no cost, the owner sees a green link like "Add 3 costs". It opens your Items page. See Add what an item costs you. Senior managers see a line like "3 items have no cost yet."

By sales, By units, By profit

These buttons sort the list. By sales is picked when you start. By units puts the items you sold most at the top. By profit puts the items that made the most at the top.

The item list

If many items sold, tap a button like Show all 45 items at the bottom to see them all. Each row shows:

  • its place in the list, the photo and the name
  • the sales, like "MVR 1,200"
  • the category and how many sold, like "Cakes · 12 sold". An item with no category says "No category".
  • the profit, like "Profit 240". If the item has no cost, it says Add cost in orange.

With By units or By profit, the numbers on the right change to match. Under By profit, an item with no cost says "No cost".

Items you added with + Custom at the Counter say "Typed in at the counter". They do not open. Tap any other item to see its own numbers. See See which items sell.

Did not sell

This card shows items with no sales in those days, like "Did not sell this month". The number of items is on the right. It says, for example: "Juice, Tea, Bread, and 4 more. Worth a promo, or a place lower on your shop." Tap the green link, like "See the 7 items", to see the list.

Get this report

Tap Get this report at the bottom of Sales by item. You can save it as a PDF or spreadsheet, or send it on WhatsApp. The spreadsheet has these columns: Item, Category, Units sold, Orders, Sales (MVR), Cost each (MVR) and Profit (MVR). See Find and share a report.

Service charge

This report has the name of your extra charge, like Service charge or Packing fee. It shows what the charge brought in. Under the title are the days and Customise. The star and the download picture are at the top right.

The dark card shows "Collected this month" and the amount. Under it:

  • a line like "Added to 40 orders worth MVR 8,000"
  • bars, one for each day, when you picked more than one day
  • your rate, like "Service charge is 10% on items." If you changed the rate in those days, it shows both rates and the dates.

When Compare with the period before is on, the top of the card shows the change. For example, "12%" and "vs last month". If there is nothing from the days before, it says "Nothing to compare with yet".

Where it came from

A coloured bar shows where the orders came from. Under it is a row for each one, like Online, Counter or Pay links. Each row has the number of orders and the amount. A box may also show "Counter and pay links, by who sold", with each person's name and amount.

Is it in your hands yet

  • Paid: the charge on paid orders.
  • Waiting on payment: the charge on orders that are not paid yet, with the number of orders.
  • Not charged: orders without the charge. It may say how many were pickup, like "3 pickup".

Share it with your team

A helper to share the paid charge between your team. It says "Only what is paid gets shared", with the amount.

  1. Next to People sharing, tap the plus or the minus. It starts at 2.
  2. Read the amount next to Each person gets.

The app says: "A helper only. Nothing is paid out or saved."

Day by day

A list of the days with orders, newest first. Each day shows the orders, the sales and the charge. To see more days, tap a button like Show all 17 at the bottom. In Customise, you can set Show totals by to Week or Month. Then the list is called Week by week or Month by month.

Tap Get this report at the bottom to save or send it. The spreadsheet has Date, Orders charged, Charged on (MVR) and a column with your charge name.

When the charge is off

The report says something like "Service charge is off". The owner can tap Turn it on in Settings. Settings opens at Extra charge. See Add a service charge.

Orders

A spreadsheet with one row for each order in the days at the top of Reports. The row says "One row per order, for the period above". The filters do not change it.

  1. Under Spreadsheets, tap Orders.
  2. A spinning mark shows on the row. Then your phone downloads the file.

The file is a CSV file. You can open it with Excel or Google Sheets. Each row has:

  • the order number, the date and the time
  • where the order came from, how it was paid, and if it is paid
  • the customer's name and the total
  • for credit sales, what was paid and what is left
  • the GST, the invoice number and the customer's TIN (tax number)

The column names are short words like order_number.

If a red message shows, check that your phone is online. Then tap Orders again.

Who can use it

The owner and senior managers can open these reports. Only the owner sees the "Add 3 costs" link and the Turn it on in Settings button. Managers and staff do not see Insights.

These reports come with a Storefront. They do not need an add-on.

Common mistakes

Sales summary shows the wrong days

Sales summary and Income and expenses use the days at the top of Reports.

  1. Tap the arrow at the top left.
  2. Tap the grey days button at the top of Reports.
  3. Pick the days you want.
  4. Open the summary again.

Sales by item shows less than Sales summary

The note at the bottom of Sales by item says: "Sales are item prices before order discounts, service charge and delivery. Cancelled and refunded orders are left out." So its total can be different from your sales.

It says "Nothing sold this month"

No item matched the days, the category and the filters you picked. Tap the grey days button and pick more days. Or tap All in the row of categories. If labels show under the days, tap Clear next to them.

Profit says "Add costs to see it"

None of the items you sold in those days has a cost yet. The owner adds what each item costs. See Add what an item costs you.

It says "No service charge this month"

Your charge is on, but no order in those days had it. The app says: "Pickup, digital and some counter sales can skip it, depending on your settings." To check who pays your charge, see Add a service charge. If it says "Nothing matched this period and these filters", pick more days or tap Clear.

Tip

Open Sales by item at the end of each month and look at Did not sell. Put those items on sale, or make a promo code for them. See Put an item on sale and Make a promo code.
