What it is

This is Step 1 of the prep sheet. Get the items ready is one list of everything your waiting orders need. A food shop (Home food, Restaurant & café, or Bakery & cakes) sees Cook instead. It lists the dishes to cook, soonest first.

Find it

  1. Tap Orders in the bar at the bottom.
  2. Tap Live at the top, if it is not picked.
  3. Tap Prep sheet on the right of the same row.

Step 1 is at the top of the page. When Step 1 is done, tap See list on its right to open the list again.

On a computer, Prep sheet is at the top right of the order board.

Every setting

To bring out the items:

  1. On Step 1, tap Start. A page called Get the items ready opens.
  2. Bring out the first item on the list.
  3. Tap its row. The words turn grey with a line through them.
  4. Do the same for every item.
  5. Tap Everything is out at the bottom.

You are back on the prep sheet. Step 1 now shows a green tick, and Step 2 starts. See Prep sheet step 2: pack the orders.

At a food shop, see Cook below.

Bring out 5 items

This is the Up next card (shown in capital letters) on Step 1. The line under Get the items ready says how much there is, like "5 items for 3 orders". The card says "Bring out 5 items" and "Everything the 3 orders need, in one list. Tick each one as you go."

After you tick an item, Start says Continue.

The list

At the top you see "Step 1 of 3", the title, and "Bring these out for all 3 orders. Tick each one as you go."

Each row shows how many on the left, then the item name. Its size shows too, if it has one. A circle is on the right. Tap a row to tick it. Tap it again to take the tick off.

  • When some orders want a different choice, a grey line shows under the name, like "2 with Large, No sugar".
  • A box shows "Box, its 3 picks are counted in their own rows". The things inside the box have their own rows. See Make a box customers fill themselves.
  • A long list is split under your category names.
  • Digital items, like codes and links, are not on the list.

At the bottom, the app says how many bags you need, like "You'll also need 3 bags." Everything is out ticks every row and takes you back to the prep sheet.

When every order is packed, the page says "Nothing left to bring out. Every order here is packed." The button then says Back to the prep sheet.

To go back without ticking, tap Prep sheet at the top left.

What now?

If you keep count of your stock, an orange line can show under an item. It says "Stock shows only 2 left. What now?" or "Stock shows none left. What now?" It means your stock count is too low for every order. See Keep count of your stock.

  1. Tap What now? under the item. A sheet with the item's name opens. (A sheet is a panel that covers part of the screen.)
  2. Read the note: "The stock count says there isn't enough for every order. If it's really short, change an order so the customer knows. If you found more, carry on."
  3. Look under "Orders with this item". Each order shows its number and the customer's name.
  4. If the item is really short, tap Edit order next to an order. The order page opens. See Change an order.
  5. If you found more, tap I found it at the bottom instead. The orange line goes away on this phone.

Only the owner, senior managers and managers can change an order. If you are staff, ask one of them.

Cook

Food shops see Cook as Step 1, with "Soonest first" under it. The Up next card shows:

  • Cook now for orders to make now. For a pre-order, it shows the time instead, like "For 14:30", with an orange label like "in 1h 20m".
  • how many orders, like "3 orders"
  • each dish and how many. Tap a dish when it is done. A tick shows.
  • Cooked, start packing: tap it when the dishes are done. Step 1 turns green, and Step 2 starts.
  • "After that": the later times, like "14:30" and "3 orders"

Only the dishes on the card must be cooked before you pack. You do not need to cook the later times first.

To see every time at once, tap See list after Step 1 is done. A page called Cook opens. It says "Soonest first. Tick each one as it's done." Each time has its own part, like "Now" or "For 14:30", with how many orders. If the first part is a later time, it has an orange label like "in 25 min".

The button at the bottom says Cooked these, start packing, or a time, like Cooked for 14:30, start packing. When nothing is left, the page says "Nothing left to cook. Every order here is packed." The button then says Back to the prep sheet.

Skip this step

Use it when the items are already out, or when you cook as orders come in.

  1. Tap Skip this step under Start. At a food shop, it is under the cook card.

Step 1 turns into a green tick with "Skipped" under it. Step 2 starts.

When Step 1 is done

The line under Step 1 says "All 5 items are out", "Skipped" or "Nothing left to bring out". At a food shop, it says "Cooked for the next orders" or "Skipped".

Your ticks, and Skip this step, stay only on the phone where you tapped them.

Who can use it

Everyone in your team can use it: the owner, senior managers, managers and staff. Staff can tap Edit order, but cannot change the order.

The prep sheet needs a Storefront.

Common mistakes

Step 1 came back after I finished it

A new order came in with items that are not ticked yet. Tick them, or tap Skip this step.

At a food shop, Step 1 also comes back once the earlier orders are packed. It then shows the next time, like "For 14:30". Cook those dishes and tap Cooked, start packing.

Step 1 also starts again when you pick a place under Pack for. It then lists only that place's items. See Prep sheet step 2: pack the orders.

My teammate's phone shows Step 1 not done

Ticks stay on the phone where you made them. Your teammate can tap Skip this step on their phone.

The orange stock line is wrong

If you have more than the count says, tap What now? under the item. Then tap I found it. To fix the number for good, see Add new stock and fix a count.

An item is not on the list

Digital items are never on it. Items of packed orders leave the list. Also check the day and the place at the top of the prep sheet.

Tip

The list follows the order of your categories. Put your categories in the same order as your shelves. Then you can fetch everything in one walk. See Sort items into categories.
