What it is

The Money tab in Insights shows money in and money out for the days you pick. Expenses are the money you spend on the shop, like gas or rent. When the owner adds them here, the tab also shows what you kept after expenses. To learn how Insights works and how to pick days, see See how your shop is doing.

Find it

  1. Tap Insights in the bar at the bottom.
  2. Tap Money at the top. It is the fourth tab.

You can also open this tab from Overview. Tap the Collected card, or the "not paid yet" card in Needs you.

On a computer, Insights is in the bar on the left. The tabs are next to the Insights title.

Every setting

The days you see

At the top of the dark card is a pill (a round-ended button). It shows the days you see, like This month. Tap it to pick other days. Or use the two arrows at the right end of the same line. See See how your shop is doing.

Money in

When there are no expenses in those days, the dark card shows Money in and the amount.

  • The owner sees "Add what you spend and we'll show what you really keep." and Add your first expense. Tap it to add an expense. See Add your expenses.
  • Senior managers see "When the owner adds what the shop spends, you'll see what it keeps."

You kept

When there are expenses, the dark card says You kept and the amount. A jar drawing fills up. Under the amount:

  • A small box with an arrow and a percent, and words like "vs last month". When the days before kept no money, it says "Nothing to compare with yet".
  • A line like "You keep about 30 of every 100 you make."

If you spent more than came in, the card says Spent more than came in. Under it, it says "Stocking up? A longer period shows the real picture."

Money in and Money out

Under the dark card, a white card shows Money in and Money out, in MVR.

Where every 100 went

This card shows when there are expenses. It says "Money in on the left, split into what you kept and what you spent." On the right is Kept, then your biggest expense types, with their amounts. Smaller types are put together as Everything else.

If you spent more than came in, the card is called What you spent on instead. It shows a bar and the amount for each type, under a line like "Your costs this month."

The expense types are Ingredients, Gas, Packaging, Transport, Rent and Other, or your own words.

Waiting on money

This card has two rows:

  • Not paid yet: a line like "3 unpaid orders this month", and the amount. Tap it to open your credit book on the Credit tab. The credit book shows only sales put on credit, so some unpaid orders may not be there. See Keep a credit book.
  • You owe: a line like "2 bills marked pay later", and the amount. When you owe nothing, it says "All settled". With the Bills and GST add-on (an extra you can add to your Storefront), this row is not here. The You owe card below takes its place.

GST you can take off

GST is the tax on sales. This card shows only when GST is on for your shop. See Add GST to your prices.

With the Bills and GST add-on, it says "GST you can take off this month" and the amount. Under it is a line like "From 4 bills. It comes off the GST you pay MIRA." (MIRA is the Maldives tax office.) It may also say how many bills need a fix. Tap it to open your GST return. See Bills and GST: your GST return.

Without the add-on, the owner may see a dark card with a lock. It says something like "Up to MVR 40 could come off". Tap it to open the add-on store. You can see the price there. See Bills and GST: what it adds.

You owe

With the Bills and GST add-on, a You owe card lists the suppliers you owe. Suppliers are the people and shops you buy from. The one due soonest is first. A Coming up row shows bills that come every month. When you owe nothing and have no monthly bills, this card is not there. See Bills and GST: suppliers and what you owe.

Latest

When money came in or went out in those days, Latest shows the newest:

  • Money in has a green plus, a name like "Order", and an amount like "+450".
  • Money out has a small picture of the type, and the supplier or type. Its amount has a minus, like "−200". If you have not paid it yet, it has a Pay later label.

Under each name, a small line shows details like the note. It also says when, like "2 h ago" or "yesterday". The owner can tap an expense to change it. See Add your expenses.

All expenses

  1. Tap All expenses next to Latest.

A sheet called All expenses opens. (A sheet is a panel that covers part of the screen.) It shows every expense in the days you picked:

  • The Search what for or note box. Type a word to find an expense. With the add-on, it says Search supplier, bill no. or what for.
  • All and Pay later buttons, each with a number. With the add-on, there are also With GST and Needs a fix. Tap one to show only those expenses.
  • A line like "5 expenses this month", and the total.
  • The expenses, by day. Each shows the type or supplier, any note, and the amount. Labels like Pay later and Monthly show under it. With the add-on, you may also see Needs TIN or bill no. (a TIN is a tax number) or Equipment.

If nothing matches, it says "Nothing here this month." The owner can tap an expense to change it. To close the sheet, tap the X at the top right.

Expense

The owner has a green Expense button at the bottom right. Tap it to add an expense. A sheet called New expense opens. See Add your expenses.

Who can use it

The owner and senior managers can open the Money tab. Only the owner can add or change expenses. Managers and staff do not see Insights.

It needs a Storefront. It is not part of the free listing. The supplier and GST parts come with the Bills and GST add-on. See Turn an add-on on or off.

Common mistakes

I don't see the Expense button

Only the owner adds expenses. Senior managers can look, but cannot add or change them.

I don't see You kept

There are no expenses in the days you picked. The owner can tap Add your first expense or Expense.

It says Spent more than came in

You spent more than came in during those days. This can happen in a month when you buy a lot of stock. Pick a longer period to see more.

An old expense is not in All expenses

All expenses shows only the days you picked. Close the sheet. Tap the pill and pick the right days. Then open All expenses again.

Tip

Add each expense on the day you pay it, like gas or packaging. Then You kept shows what your shop really keeps. Tap the left arrow to compare with last month.
