What it is
An expense is money your shop spends to keep going. Add your expenses, and the Money tab in Insights shows You kept. That is what is left after costs. For bills that come every month, like rent, the app can add them for you. To read the Money tab, see See money in and money out.
Find it
- Tap Insights in the bar at the bottom.
- Tap Money at the top. It is the fourth tab.
- Tap the green Expense button at the bottom right. A sheet called New expense slides up. (A sheet is a panel that covers part of the screen.)
No expenses yet in the days you see? You can also tap Add your first expense. It is in the dark card at the top.
On a computer, Insights is in the bar on the left. The sheet opens in the middle of the screen.
If you are the owner and do not see Insights, your shop is a free listing. See Free listing and Storefront.
Every setting
To add an expense:
- Type the amount on the number pad. For example, 250.
- Under What was it for?, tap a tile, like Gas.
- Under Paid?, tap Now if you paid it already. Tap Later if you will pay it later.
- Tap Add expense at the bottom.
A message says "Expense saved". Your expense now shows under Latest on the Money tab.
The other settings are optional. Each one is explained below.
How much did you spend?
The big number is the amount, like MVR 250. You type it with the number pad under it. The phone keyboard does not open for it.
- For an amount like 99.50, tap the dot key (bottom left).
- Tap the delete key (bottom right) to take off the last number.
With the Bills and GST add-on (an extra you can add to your Storefront), this heading says Or type how much you spent on a new expense.
What was it for?
Tap one of the six tiles: Ingredients, Gas, Packaging, Transport, Rent or Other. The tile turns green, and its name shows in the box under the tiles. Nothing is picked when you start.
For something else, type your own word in the box. It says "Or write your own, like electricity" in grey.
Words you typed before can show as small buttons under the tiles. Tap one to use it again.
These names show on the Money tab, in Latest. They also show in Where every 100 went, or What you spent on.
Paid?
- Now (picked when you start): you already paid it.
- Later: you will pay it later. On the Money tab, the expense gets a Pay later label and counts under You owe.
When you pay a Pay later expense, open it (see Change an expense below). Tap Now. Then tap Save changes.
Bill date
This is the day you spent the money. It starts with today. Tap the box to pick another day. You cannot pick a day after today.
In All expenses, the expense shows under that day.
Note
Type a few words in the Note box if you like. For example, "2 gas tanks". The note shows in the small line under the expense on the Money tab.
Every month
Use this for bills that come every month, like rent or electricity. The app says: "Like rent or electricity. We add it on the same day each month."
The switch is grey (off) when you start. Tap it to turn it on. It turns green. Each month after that, the app adds a copy of this expense. The copy comes on the same day as the Bill date.
Two buttons show under the switch:
- As pay later (picked when you start): each new copy has a Pay later label. It helps you remember to pay.
- As paid: each new copy comes as already paid.
In All expenses, the first one and its copies have a Monthly label.
A copy does not have the switch. Instead it says: "Added by Every month. Change the first one to change what comes next month."
To stop the copies, open the first one. Tap the switch so it is grey. Then tap Save changes.
With the Bills and GST add-on, a row called Coming up lists your next copies. It is under You owe on the Money tab. See Bills and GST: suppliers and what you owe.
Bill details
Under Bill details are round buttons: Supplier, GST, Bill no., Photo, Paid by (or Due day when you pick Later), Items, Equipment and Order. They come with the Bills and GST add-on.
Without the add-on, each button has a small lock. Next to Bill details is Bills and GST add-on. Tap it, or any round button. A card called Bills and GST shows under the round buttons. Scroll down if you do not see it. It says what the add-on adds and its price. Tap See the add-on to open the add-on store. See Bills and GST: what it adds.
With the add-on, the New expense sheet also has Snap or upload the bill at the top. See Bills and GST: add a bill.
Change an expense
- On the Money tab, scroll down to Latest.
- Tap the expense. A sheet called Edit expense opens.
- Change what you need.
- Tap Save changes at the bottom.
A message says "Expense updated".
Latest shows only the newest money in and out. If your expense is not there, tap All expenses next to Latest. Then tap the expense.
All expenses shows only the days you see. For an older expense, pick other days first. See See money in and money out.
Delete an expense
- Open the expense, as in Change an expense.
- Tap Delete at the bottom left. It is in red letters.
- A box shows at the top of the sheet. If you do not see it, scroll up. It says: "This removes the expense from your money book. It can't be undone."
- Tap Delete expense.
To keep it, tap Keep it instead. After you delete, a message says "Expense deleted".
With the Bills and GST add-on, a bill in a GST return you filed cannot be deleted. See Bills and GST: your GST return.
Who can use it
Only the shop owner can add, change or delete expenses. Senior managers can see them on the Money tab, but they have no Expense button. Managers and staff do not see Insights.
Expenses need a Storefront. They are not part of the free listing. The round buttons under Bill details need the Bills and GST add-on.
Common mistakes
Nothing happens when I tap Add expense
A message shows at the top of the sheet. Scroll up to read it:
- "Enter an amount greater than 0." Type the amount on the number pad.
- "Write what it was for, or tap one below." Tap a tile, or type a word in the box.
- "Pick a date." Tap the Bill date box and pick a day.
My rent did not come this month
The copy comes on the same day as the first one's Bill date. If that day has not come yet, wait. Also check that the first one still has Every month on.
I changed the rent, but this month still shows the old amount
Copies already added do not change. Open this month's copy. Change the amount. Then tap Save changes.
What I typed is gone
The X at the top right closes the sheet, and what you typed is not saved. Tapping the dark part of the screen does the same. Tap Add expense or Save changes before you close.
Tip
Add your rent with Every month on and As pay later picked. Each month it shows with a Pay later label, so you do not forget. When you pay, open it. Tap Now. Then tap Save changes.
