What it is
A supplier is a shop or company that sells to your shop. With the Bills and GST add-on, the Money tab shows You owe. It lists the bills you have not paid yet, by supplier. Each supplier has a page. It shows the bills you still owe them, their TIN (tax number) and their phone. You add a supplier when you add a bill. See Bills and GST: add a bill.
Find it
- Tap Insights in the bar at the bottom.
- Tap Money at the top. It is the fourth tab.
- Scroll down to You owe.
- Tap a supplier.
A sheet with the supplier's name opens. (A sheet is a panel that covers part of the screen.)
On a computer, Insights is in the bar on the left.
Only suppliers you still owe show here. To change any supplier, see Edit supplier below.
You owe shows only when a bill is not paid yet, or a bill comes every month. Without the add-on, the Waiting on money card has a You owe row instead. See See money in and money out.
Every setting
You owe
At the top, You owe shows the total, like MVR 1,860.80. It counts every bill not paid yet, from any date. These are the bills where you tapped Later under Paid?.
Each row is one supplier, with the soonest due first. A row shows:
- the supplier's name, like Aisha Traders
- how many bills and the first due day, like "2 bills · due 14 Oct"
- the amount
- a label like "3 days late", "Due today", "In 2 days" or "In 10 days". It is orange when the bill is late or the due day is close.
To set the due day of a bill, see Due day in Bills and GST: add a bill.
A bill with no supplier shows on its own row, with its type, like Rent. The owner can tap it to open the bill.
Coming up
This row is at the bottom of You owe. It shows bills you set to come every month, like "Rent 5,000 on the 1st". See Add your expenses.
You owe them
This is the top of the supplier's page. It shows their first letters, You owe them and the amount.
If their TIN is missing or does not look right, an orange note says one of these:
- "No TIN saved. Add it from their tax invoice so the GST on their bills comes off what you pay MIRA."
- "This TIN isn't in MIRA's format, like 1234567GST501. Fix it from their tax invoice so the GST on their bills comes off what you pay MIRA."
MIRA is the Maldives tax office. If you saved their phone number, Call and the number show. Tap it to call them.
Senior managers see "TIN" and the number, or "TIN not saved".
Not paid yet
This list shows the supplier's bills that are not paid yet. Each bill shows its number, like "Bill 1767", or its type. Under it are the bill date and due day, like "7 Oct · due 14 Oct". On the right are the amount and the due label.
The owner can tap a bill to open it. When nothing is owed, it says "Nothing owed. All settled."
Paid them all? Mark as paid by
Use this after you pay all of a supplier's bills.
- Open the supplier's page.
- Under "Paid them all? Mark as paid by", tap how you paid: Cash, Transfer or Card.
A message says "Marked paid". Every bill in Not paid yet is now paid. The page says "Nothing owed. All settled." The supplier leaves You owe.
Pay one bill
- Tap the bill under Not paid yet. A sheet called Edit expense opens.
- Under Paid?, tap Now.
- Tap Save changes at the bottom.
You can also tap Paid by under Bill details to say how you paid, before you save.
Edit supplier
On the supplier's page, the owner sees three boxes:
- Name: the supplier's name.
- GST TIN: their tax number, from their tax invoice. If it does not look right, it says "MIRA's GST TIN has 13 characters, like 1234567GST501."
- Phone: optional.
Under the boxes, the app says how many bills will change. For example, "Changes show on all 3 of their bills, including old ones." With one bill, it says "Changes show on their 1 bill, including old ones."
To change them:
- Change what you need in the boxes.
- Tap Save. It is grey until you change something.
A message says "Supplier saved".
You can also change any supplier while you add a bill:
- In New expense, tap Supplier under Bill details.
- Tap Edit at the top of the box. It now says "Tap a supplier to change or delete it".
- Tap the supplier. The same boxes open, under Edit supplier.
Tap Back to go back to the list. Tap Cancel to stop editing.
Delete supplier
- Tap Delete supplier under Save.
- Read the note. It asks, for example, "Delete Aisha Traders?"
- Tap Delete.
To keep them, tap Keep instead.
A message says "Aisha Traders deleted". If you were on the supplier's page, the page closes.
If the supplier is on bills, the note says, for example, "They're on 3 bills. Those bills keep their name and TIN so your GST claim stays right." The supplier leaves your Who you paid list. If they are on no bills, the note says "They're not on any bills, so they'll be removed completely."
Who can use it
The owner can see and do everything here. Senior managers can see You owe and each supplier's page. They cannot open bills, mark them paid, or change suppliers. Managers and staff do not see Insights.
It needs a Storefront and the Bills and GST add-on. You can see the price in the add-on store.
Common mistakes
A bill is not in You owe
Only bills that are not paid show here. New expenses start with Paid? on Now. To fix a bill:
- Open the bill from Latest or All expenses on the Money tab.
- Under Paid?, tap Later.
- Tap Save changes.
It says No TIN saved
Find the TIN on the supplier's tax invoice. Type it in the GST TIN box on their page. It has 13 characters, like 1234567GST501. Tap Save.
A red message shows when I tap Save
Each message says what to fix:
- "Write the supplier's name." The Name box is empty. Type their name.
- "That TIN looks too short." Type the whole TIN from their tax invoice, or clear the box.
- "Aisha Traders is already saved as a supplier." Two suppliers cannot have the same name. Use the saved supplier, or give this one another name.
- "Couldn't save. Check your connection and try again." Check your internet, then tap Save again.
If "Couldn't delete. Check your connection and try again." shows, check your internet and tap Delete again.
I marked bills paid by mistake
Do this for each bill:
- On the Money tab, tap All expenses, next to Latest.
- Tap the bill.
- Under Paid?, tap Later.
- Tap Save changes.
All expenses shows only the days you picked on the Money tab. If you do not see the bill, pick its days first.
I deleted a supplier by mistake
- Add a new bill.
- Tap Supplier under Bill details.
- Type their name in Search suppliers.
- Tap Add “Aisha Traders”.
When you save the bill, the supplier comes back in your list.
Tip
Pick a Due day for every bill you pay later. You owe then shows the next bill to pay first, in orange when it is close. Check it once a week.
